Job summary

TOPPAN Packaging Americas is seeking an HR Data Management Specialist to support core HR processes and maintain employee data in Workday, UKG, and ADP Payroll. The role handles day-to-day transactions, audits benefits, and ensures policy compliance.

The ideal candidate is detail-oriented, process-driven, and proficient with HRIS systems. You will manage data integrity across multiple HR platforms, perform regular audits, and collaborate with payroll and benefits teams to resolve discrepancies.

Qualifications

• Prefer Bachelor's degree in Human Resources, Business Administration, or a related field.
• 2-4 years of experience in HR or employee services roles.
• Excellent verbal and written communication skills, with the ability to interact effectively with employees at all levels.
• Strong problem-solving skills and the ability to handle sensitive and confidential information with discretion.
• Highly organized with the ability to manage multiple tasks and priorities simultaneously.
• Proficiency in HRIS systems, Microsoft Office Suite, and other relevant software.
• Strong interpersonal skills and a customer-service-oriented mindset.
• Keen attention to detail and accuracy in all tasks.

Responsibilities

• High-Volume Data Entry & Employee Transactions
• Entering new hires in Workday and ADP Lyric (when Workday onboarding is incomplete)
• Processing or verifying employee lifecycle changes in Workday: Promotions, transfers, terminations
• Leaves of absence (LOA) and returns (RFL) and verifying that data is correct
• Managing compensation updates and verifying union assignments
• Validating new hire personal information
• Ongoing auditing of benefits across ADP and multiple vendors (Empower, Aptia, Optum, Manulife)
• Extracting and validating employee elections via Benefits Data Management
• Processing benefit changes directly in ADP
• Reviewing daily benefits files and resolving: Invalid or “needs attention” transactions, Payroll sync failures
• Pulling and analyzing census reports to reconcile Workday vs ADP data
• Tracking and auditing all data changes within ADP
• Investigating discrepancies across systems and ensuring alignment
• Addressing issues where transactions complete but do not reflect in employee records
• File Monitoring & Error Resolution
• Daily review of HR inbound interface files
• Identifying and resolving
• Backup to other HR team members
• Ticket review

• Research employee issues
• Base Rate Sheet updates/changes
• Assistance with OE and Merit, if needed
