Job Description

Anticipated Contract End Date/Length: 6 months with potential to extend
Work set up: Remote

We are looking for an HR Administrator to support seamless onboarding and offboarding processes from a technology and administrative perspective. This role will be responsible for conducting background checks for specific regions such as but not limited to South Africa and UK and character reference checks for new associates and employees. The HR Administrator will also manage employee IT-related queries, oversee tech administration, and maintain accurate records of all tech assets.

1. IT Support

  • Manage onboarding requests received via Talent Acquisition and initiate necessary workflows through the internal IT partnerportal.
  • Coordinate email account creation, system and software access, and EID/laptop provisioning from clients.
  • Approve quotes for Microsoft 365 licenses and other technical tools.
  • Procure or rent laptops and accessories for associates, and arrange imaging, setup, and delivery.
  • Update BambooHR with email and EID details, and maintain accurate IT asset and license tracking records.
  • Send equipment policies and client IT forms using Signing Hub.
  • Maintain contact directories and mailing lists for new hires.
  • Initiate offboarding upon receipt of resignation/offboarding requests.
  • Coordinate equipment return via FedEx or client-specific protocols.
  • Update relevant tracking tools (EID, IT License, Asset Tracker).
  • Confirm and log the return of equipment from associates.
  • Conduct annual IT asset audits and manage tech stock inventory.
  • Oversee all service tickets through internal IT partnerand ensure timely resolution.
  • Coordinate in-person technician support where necessary.
  • Ensure compliance with internal asset management policies and liaise with Finance on equipment insurance and invoice audits.
  • Manage background check process from initiation to completion upon request from TA.
  • Coordinate candidate communications, documentation collection, and fingerprint bookings.
  • Monitor check progress and provide updates or escalate where necessary.
  • Conduct live identity and address verifications when required and mandated by particular clients.
  • Compile and submit reports, including audit documentation for clients and third-party vendors.
  • Archive results and notify relevant internal stakeholders of outcomes.

3. Reference Checks

  • Receive and process candidate reference information.
  • Contact referees via email or phone, compile feedback, and store documents appropriately.
  • Notify relevant stakeholders of completed references when requested.

4. Internal Communications

  • Track employee birthdays, special occasions, and post celebratory messages in the internal Comms channel.
  • Acknowledge and highlight global cultural and holiday celebrations to foster inclusive workplace culture.
Qualifications
