What you'll do:
The HR Administrative Assistant supports Human Resources and Executive operations through administrative coordination and project support. This role manages schedules, coordinates communications, maintains confidential information, assists with recruiting and onboarding, and helps keep HR operations organized and efficient.
- Confidentiality and Professional Discretion: Handle confidential employee, candidate, and business information with a high level of discretion, judgment, and professionalism. Protect sensitive information in accordance with company expectations and maintain trust through accurate, timely, and appropriate communication.
- Recruiting, Onboarding, and Employee Support: Support recruiting activities by screening resumes within the applicant tracking system, coordinating interviews, communicating with candidates and hiring teams, preparing onboarding materials, and conducting new-hire orientation. Provide responsive administrative support for employee communications and help ensure employees receive clear, timely information related to company policies and benefits.
- IT and Equipment: Coordinate IT needs for onboarding, offboarding, and employee support using a ticketing system, which includes laptop and equipment setup, system access, basic troubleshooting, and communication with global IT team.
- HR Records and Documentation: Maintain organized, accurate, and up-to-date HR records, employee files, and related documentation. Assist with document tracking, filing, data entry, and recordkeeping processes to support compliance, consistency, and efficient HR operations. Prepare, proofread, organize, and maintain company policies, organizational correspondence, presentations, meeting notes, and other business materials. Ensure materials are accurate, clearly formatted, and completed within required timelines to support HR and executive communication needs.
- HR Projects, Training, and Events: Assist with HR projects, training coordination, employee engagement activities, company initiatives, and process improvement efforts. Coordinate logistics, prepare materials, and help ensure HR programs and events are organized, professional, and well executed.
- Scheduling, Travel, and Meeting Coordination: Manage company calendar, schedule appointments, coordinate meetings, and assist with travel arrangements as needed. Support meeting preparation by organizing agendas, confirming logistics, gathering materials, ordering lunches, and helping ensure leaders and participants have the information needed in advance.
- Executive Administrative Support: Provide administrative support to the President/CEO as needed, including scheduling assistance, document preparation, meeting coordination, follow-up tracking, and other administrative tasks that support effective executive operations.

Position Requirements:
- Education: Associate or bachelor’s degree in human resources, Business Administration, or related field preferred.
- Experience: 3+ years of administrative support experience, preferably supporting senior leaders or an HR team.
- Certifications: HR or Administrative Assistant certification preferred, but not required.
- Functional Skills: Highly organized with strong attention to detail and follow-through. Ability to prioritize, meet deadlines, and adapt to changing needs.
- Technology Aptitude/Skills: Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams. Experience with HR systems, applicant tracking systems, payroll systems, or employee records preferred.
- Language Skills: Professional written and verbal communication skills.
- Leadership/Behaviors: High level of confidentiality, integrity, and discretion. Ability to build positive working relationships within all levels of the organization.
