Job summary

WinnCompanies is seeking an Occupancy Specialist I for Calistoga II, a 78-unit affordable housing community in Calistoga, CA. The role emphasizes processing recertifications, resident interviews, and thorough recordkeeping for Tax Credit programs.

You will support move-in activities, maintain waitlists, and ensure compliance with HOME/HIF funding rules, while using Property Management Software and coordinating with staff and agencies.

Qualifications

• High school diploma or GED equivalent.
• 1–3 years of relevant work experience.
• Experience with computer systems, particularly Microsoft Office.
• Excellent customer service skills.
• Strong verbal and written communication skills.
• Good organizational and administrative skills.
• Ability to meet deadlines and follow schedules.
• Ability to plan and schedule 4 months of work activity.

Responsibilities

• Process initial, interim, and annual recertifications.
• Notify residents of impending recertifications using notices from Property Management Software.
• Conduct recertification interviews with residents.
• Review each recertification for completeness.
• Send verification forms to agencies and relevant organizations.
• Prepare the recertification worksheet for vouchers (Form 50059).
• Assist with property reviews by owners, regulators, auditors, etc.
• Ensure information is accurately entered in the Property Management Software.
• Maintain proper handling of Tax Credit and Resident files.
• Assist with move-in processes and waitlist management.
• Ensure compliance with funding/regulatory agencies (HOME, HIF).
• Protect residents' personal information in compliance with laws.
• Complete recertifications by due dates and on-time reporting.
• Assist with rent-up activities, prospect management, and marketing as needed.
• Assist with renewals of PBA, Project Based Section 8, or other subsidy contracts.
