Job Title: Housing Assistant
Job Purpose
To provide a high-quality, customer-focused tenancyadministration service that supports the effective management of councilhousing and related services. The post holder will be responsible fordelivering a wide range of administrative and housing management functions,including tenancy and income management support, voids and lettingsadministration, garage allocations, customer engagement, estate management,anti-social behaviour (ASB) support, and tenancy enforcement activities.
The role will contribute to improving customer satisfaction,strengthening community engagement, maintaining sustainable tenancies, andensuring the efficient delivery of housing services across council-managedhomes and communities.
Key Responsibilities
Tenancy Administration
- Providecomprehensive administrative support for tenancy management activities.
- Processtenancy-related documentation, including new tenancies, tenancy changes,successions, assignments, and terminations.
- Maintainaccurate and up-to-date tenancy records on housing management systems.
- Assistwith tenancy audits and compliance checks.
Income Management Support
- Supportrent collection and income recovery processes.
- Processcustomer payments and maintain accurate financial records.
- Assistresidents with basic rent account enquiries and signpost them to relevantsupport services.
- Generateroutine reports and correspondence relating to rent accounts.
Voids and Lettings
- Supportthe reletting of vacant properties and garages.
- Coordinateand process housing offers, tenancy sign-ups, and associated paperwork.
- Monitorvoid property administration to ensure properties are relet promptly.
- Liaisewith internal teams and external contractors to facilitate efficientturnaround times.
Customer Service and Engagement
- Actas a first point of contact for residents, handling enquiries viatelephone, email, online platforms, and face-to-face interactions.
- Logcustomer contacts accurately and respond to straightforward enquiriespromptly.
- Provideinformation, application forms, and guidance relating to housing services.
- Supportcustomer consultation, engagement, and involvement initiatives to improveservices and community outcomes.
- Assistwith estate inspections and follow-up administrative actions.
- Recordand monitor estate management issues and coordinate appropriate responses.
- Supportinitiatives that promote clean, safe, and sustainable neighbourhoods.
Anti-Social Behaviour (ASB) and Tenancy Enforcement
- Provideadministrative support in managing ASB cases and tenancy breaches.
- Maintaincase records and prepare correspondence relating to tenancy enforcementactivities.
- Supportofficers in gathering information and monitoring actions associated withlegal and enforcement processes.
General Administration
- Processinvoices and ensure accurate record keeping.
- Managefiling systems, documentation, and correspondence in line with dataprotection requirements.
- Orderstationery and office supplies as required.
- Producereports, letters, and management information.
- Participatein continuous improvement activities to enhance service delivery andcustomer satisfaction.
Experience Required
- Experienceproviding administrative support within a customer-focused environment.
- Experiencedealing with customer enquiries and resolving issues professionally.
- Experiencemaintaining accurate records and databases.
- Experienceworking with multiple priorities and meeting deadlines.
- Experienceprocessing financial transactions or payments.
- Experienceworking within a housing, local authority, or social housing environment.
- Experiencesupporting tenancy, income management, allocations, or housing services.
- Experiencedealing with vulnerable customers and diverse communities.
- Experiencesupporting ASB, estate management, or tenancy enforcement processes.
Qualifications
- GCSEs(or equivalent) including English and Mathematics at Grade C/4 or above.
- Goodstandard of literacy and numeracy.
- BusinessAdministration, Housing, Customer Service, or Local Governmentqualification.
- CIH(Chartered Institute of Housing) Level 2 or Level 3 qualification, orwillingness to work towards obtaining one.

Additional Information
Hours: 37 hours per week
Contract Type: Temporary/Agency, as applicable
Working Pattern: Monday to Friday, subject to operational requirements
