Job summary

Memphis Marriott-MEM invites applications for a Sales Coordinator full-time position at our Memphis location. You will support the sales office, prepare kits, and assist with event planning from pre-event through billing, ensuring accuracy and excellent service.

You will collaborate with catering, A/V, and housekeeping to execute events, handle guest inquiries, and coordinate with clients on budgets, timelines, and layouts.

Responsibilities

• Order office supplies for sales office as directed by DOS
• Prepare sales kits for sales team
• Create banquet room door signs for groups in meeting rooms as well as maintain the reader board in the lobby with all group functions
• Efficiently sort and distribute mail for the hotel
• Collaborate with clients to understand their specific event objectives and requirements.
• Develop customized event orders, including detailed budgets, timelines, and layouts.
• Coordinate with various hotel departments, such as catering, audio-visual, and housekeeping, to ensure seamless execution of events.
• Provide exceptional customer service, promptly addressing client inquiries, concerns, and special requests.
• Conduct site visits and pre-event meetings to ensure all details are accurately communicated and executed.
• Oversee the setup and breakdown of event spaces, ensuring they meet the client's specifications and exceed their expectations.
• Anticipate and resolve any operational challenges or issues that may arise during events.
• Assist hotel group guests to ensure a successful event by being the housing and billing contact from pre-arrival through departure; providing excellent service and hospitality following the brand guidelines.
• Process all reservation requests, changes, and cancellations received by phone, fax, or mail.
• Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate.
• Explain guarantee, special rate, and cancellation policies to callers. Accommodate and document special requests. Set-up proper billing accounts (i.e. share-with, room/tax/incidentals, tax exempt, direct/special billing, and group bookings) according to accounting policies. Work closely with various departments and outside entities to achieve successful groups from pre-arrival through final bill.
