Job summary

RRD is hiring a Hospitality Associate to deliver first-class hospitality and support conference room readiness, catering coordination, and event logistics on a fully onsite basis.

The ideal candidate has hospitality or corporate reception experience, strong communication, attention to detail, and the ability to lift up to 50 lbs. Shifts are Monday–Friday 8am–5pm with a 60-minute lunch.

  • Minimum 1 year professional experience in hospitality or corporate reception.
  • Strong interpersonal communication and organizational skills.
  • Must be able to lift up to 50 lbs.

Responsibilities

  • Check conference room and meeting schedule during shift and note changes.
  • Set up conference rooms with A/V, catering, and furniture per client requests.
  • Clean up rooms and return items to vendors after meetings.
  • Prepare coffee and beverages in assigned kitchens each morning.
  • Maintain inventory of catering supplies and order as needed.
  • Coordinate with vendors to ensure competitive pricing and timely service.
  • Assist in training new hires and support reception as needed.

Job Description

The Hospitality Associate plays a key role in creating a first-class client and guest experience by delivering exceptional hospitality, meeting, and workplace support services. Responsibilities include managing conference room readiness, coordinating catering and vendors, supporting reception, overseeing meeting logistics, and ensuring flawless execution of events from arrival through completion. The ideal candidate brings experience in white-glove hospitality, corporate reception, or a professional services environment, along with strong communication skills, attention to detail, and a proactive approach to anticipating client needs. Experience supporting law firms, banking, private equity, or other high-touch corporate environments is highly preferred.

Shifts: Monday-Friday 8am - 5pm, with a 60-minute lunch

Work model: Fully onsite

Job duties

  • Check the conference room and meeting schedule throughout shift and make note of any changes to ensure meetings are set-up accurately
  • Set up conference rooms according to client’s request, including audio/visual equipment, food, beverages,utensils, ice, etcetera
  • Clean up conference rooms after use and return property to vendors if necessary
  • Prepare coffee and other beverages in assigned kitchens each morning
  • Clean up coffee makers pantry in each kitchen in the evening and throughout the day
  • Communicate with supervisor or client on meeting request concerns or deadline issues
  • Maintain inventory of catering supplies and order supplies as needed
  • Place orders for food and beverages for use during meetings
  • Coordinate and act as liaison with personnel, food merchants, selected contact and outside vendor(s) to ensure the pricing is competitive and reviewed quarterly
  • Ensure the value-added products and services are secured at competitive rates that have been vetted
  • Perform appropriate vendor selection and management associated with department services and/or products
  • Assist in training new hires
  • Prioritize workflow
  • Assist in process improvement ideas
  • Answer telephone in Office Services center
  • Adhere to Williams Lea policies in addition to client site policies
  • Use equipment and supplies in a cost-efficient manner
  • Must be able to lift up to 50 lbs. on a regular basis
  • Provide back-up support to Reception and/or Office Services as needed
Qualifications
  • High school diploma or equivalent
  • Minimum (1) year professional experience preferably in hospitality or corporate reception
  • Able to make independent decisions that conform to business needs and policy
  • Strong interpersonal communication skills required
  • Excellent organizational skills required
  • Must be able to meet deadlines and complete all projects in a timely manner
  • Strong attention to detail is required
  • Must work well in a team environment
  • Professional attire and demeanor required
  • Good problem-solving skills, with the ability and understanding of when to escape a problem to a supervisory level
  • Ability to work in a fast paced, high-energy environment
  • Ability to work on multiple projects simultaneously
  • Ability to operate basic audio/visual equipment
  • Ability to anticipate client’s needs for meetings and events
  • Must be self-motivated with a positive can-do attitude
  • Proven customer service skills are required to create, maintain and enhance customer relationships
Additional Information

The salary range for this role at the noted RRD location is $17.88 - $24.28 / hour. Starting pay decisions are determined based on multiple factors including but not limited to relevant education, qualifications, skills, experience, certifications, proficiency, performance, shift, location, and other business needs. Typically, roles follow step progressions to a target rate or set increments over time. Depending on the role, in addition to the hourly rate of pay, the total compensation package may also include overtime, shift differential, call-in, and/or stand-by pay.
