Job summary

Valir Hospice in Shawnee, OK is seeking an Office Manager to oversee daily administrative operations and ensure efficient coordination of business office functions. You will serve as a central resource for employees, patients, families, vendors, and referral sources, delivering exceptional customer service and managing records, payroll, onboarding, and regulatory documentation.

Qualifications

  • High school diploma or equivalent; 1 year of administrative/clerical experience preferred.
  • Strong organizational and time-management skills; able to handle multiple priorities.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and EMR systems.
  • Excellent verbal and written communication and attention to detail.

Responsibilities

  • Oversee daily business office operations for efficient workflow and exceptional customer service.
  • Support recruiting, onboarding, payroll, employee records, compliance, and administrative processes.
  • Coordinate accounts payable, office operations, vendor services, and business office functions.
  • Maintain patient records, organizational documents, licenses, certifications, policies, and regulatory documentation.
  • Provide backup support for intake, referrals, scheduling, payroll, medical records, and other business office operations.
  • Prepare reports, assist with audits, surveys, and regulatory reviews, and support organizational compliance.
  • Coordinate employee training, technology access, and office resources.
  • Collaborate with leadership to improve operational efficiency and support special projects and organizational initiatives.
  • Perform all other duties and responsibilities as assigned.

Job Summary

The Hospice Office Manager is responsible for overseeing the daily administrative operations of the hospice office and ensuring efficient coordination of business office functions.   • Ability to learn and utilize electronic medical record (EMR) systems.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work independently while maintaining a collaborative team approach.
  • Basic understanding of office technology and ability to coordinate technology-related needs.
  • Event planning and coordination skills preferred.
  • Ability to maintain confidentiality and professionalism.
Education, Licenses, Certifications and Experience
  • High school diploma or equivalent.
  • Minimum of one year of administrative, clerical, office support, or healthcare office experience preferred.
  • Experience in healthcare, hospice, home health, or a medical office setting preferred.
Physical Requirements (Subject to Reasonable Accommodation)
  • Keyboarding/dexterity: frequently; activity exists up to 75% of the time
  • Ability to perform repetitive hand and keyboard functions
  • Communication: ability to read, speak, and hear in English.
  • Strength: sedentary position (exerting up to 25lbs of force occasionally)
