Job summary

Day City Hospice in Southwest Ohio seeks a dedicated Clinical Records Manager to oversee daily records operations, establish policies, and ensure compliance with state and federal regulations.

You will safeguard patient information, supervise clerical staff, and collaborate with the Clinical Supervisor to complete audits. This role offers a supportive team, manageable caseloads, and opportunities to grow.

Qualifications

  • Three years’ experience in clinical records management, preferably in hospice care.
  • LVN/LPN license preferred but not required.
  • Knowledge of state and federal regulations governing clinical records.
  • Ability to supervise clerical personnel and coordinate records workflows.
  • Strong communication and public relations skills.
  • Demonstrates autonomy, organization, and flexibility.

Responsibilities

  • Manage daily clinical records functions and policies.
  • Maintain compliance with state, federal, and other regulations.
  • Ensure records confidentiality and proper access controls.
  • Supervise organization personnel handling records.
  • Coordinate record audits and issue responses.
  • Partner with Clinical Supervisor on audits.

What You’ll Do
  • Manage all daily clinical records functions including establishing and implementing clinical records policies.
  • Ensure clinical record systems are maintained in compliance with state, federal and other regulations.
  • Maintain comprehensive working knowledge of state, federal, and other documentation regulations and serves as a resource for appropriate organization personnel.
  • Protect all clinical records through the establishment and implementation of control procedures for all open and closed records.
  • Protect the confidentiality of patient and organization information through effective controls and direct supervision of clinical records.
  • Forward copies of clinical records to authorized users according to policy.
  • Complete an administrative record audit following patient discharge and forward the record to the Clinical Supervisor for clinical audit.
Qualifications
  • Prefer at least three years’ experience in clinical records management, preferably in hospice care operations.
  • LVN/LPN license preferred, but not required.
  • Information systems knowledge required.
  • Demonstrated ability to supervise and direct clerical personnel.
  • Demonstrates good communication skills and public relations skills.
  • Demonstrates autonomy, organization, assertiveness, flexibility, and cooperation in performing job responsibilities.
