Advanced Infusion Care is looking for an experienced and motivated Intake Coordinator to join our dynamic team! The Intake Coordinator role is a full-time position responsible for providing patient access to the medication and therapies needed by contacting insurance companies and verifying the patient’s health insurance eligibility, benefits, coverage/non-coverage information, and initiation/extension of authorizations.

The ideal candidate should have outstanding communication and time management skills, extreme attention to detail and accuracy, in-depth knowledge of insurance benefit verification, and work in compliance with Federal and State rules and regulations.

Required Education And Experience

A high school diploma or GED is required; minimum 2 years’ experience in customer service, medical billing and coding, benefits verification, healthcare, or similar fields.

Essential Duties And Responsibilities

  1. Enter all required demographic, physician, insurance, authorization, and other information into a profile for all new patients.
  2. Review all incoming faxed prescription orders and attach to new or existing patient profile.
  3. Contact patient or physician to fill in any missing information.
  4. Conduct comprehensive benefit investigation for new patient referrals. Evaluate pharmacy and medical benefit plans.
  5. Obtain clinical, lab, and medical testing documentation from physicians’ offices for prior authorization submission.
  6. Perform timely follow-up on authorizations until approval.
  7. Communicate with patients, physicians, and other departments on benefits and authorization status.
  8. Handle denials, communicate with physicians’ offices, and provide follow-up on peer-to-peer or appeal options.
  9. Update other departments on the intake process status, including Nursing, Pharmacy, and Sales.
  10. Notify patients/families/referral sources about coverage and payment responsibilities as needed.
  11. Assist patients with financial hardship documentation and utilize manufacturer co-pay cards as appropriate.
  12. Document all requests and conversations in the patient's clinical record for seamless care coordination.
  13. Identify in-network or mandated pharmacy providers if insurance constraints prevent service, and communicate this information to patients and physicians.
  14. Provide leadership, technical guidance, and training to associates; resolve difficult cases.
  15. Develop and suggest documentation for workflow process improvements and assist with documentation updates.
  16. Participate in meetings and work groups to communicate issues, obtain approvals, and stay updated on policies.
  17. Train new and existing staff on pharmacy software, applications, customer service, and workflow.
  18. Identify deviations from training and processes during work activities.
  19. Serve as SME for new applications, upgrades, and processes.
  20. Promote training participation and coach staff on workflow changes.
  21. Ensure compliance with all regulations, policies, and best practices.
  22. Meet quality, production, and turnaround standards.
  23. Other duties as assigned.

Qualification Requirements

Preferred Experience - Home Infusion Coordination

  • Effective communication with patients, physicians, and coworkers.
  • Proficiency in English (listening, speaking, understanding, writing).
  • Decision-making, problem-solving, and independent work skills.
  • Knowledge of processes, systems, and techniques for successful authorization.
  • Ability to identify gaps, determine solutions, and take corrective actions.
  • Leadership capabilities.
  • Ability to teach and demonstrate interactions with patients and prescribers.
  • Team-oriented and service-focused attitude.
  • Attention to detail and accuracy.
  • Ability to prioritize and meet deadlines.
  • Basic computer skills and proficiency in Microsoft applications.
