Advanced Infusion Care is looking for an experienced and motivated Intake Coordinator to join our dynamic team! The Intake Coordinator role is a full-time position responsible for providing patient access to medication and therapies by contacting insurance companies and verifying insurance eligibility, benefits, coverage/non-coverage information, and authorization processes.

The ideal candidate should have excellent communication and time management skills, extreme attention to detail and accuracy, in-depth knowledge of insurance benefit verification, and compliance with Federal and State regulations.

Required Education and Experience
  • High school diploma or GED equivalent
  • Minimum 2 years’ experience in customer service, medical billing and coding, benefits verification, healthcare, or related fields
Essential Duties and Responsibilities
  • Enter demographic, physician, insurance, authorization, and other patient information into profiles.
  • Review incoming prescriptions and attach to patient profiles.
  • Contact patients or physicians to fill missing information.
  • Conduct benefit investigations, evaluate pharmacy and medical plans.
  • Obtain documentation for prior authorization submissions.
  • Follow up on authorizations until approved.
  • Communicate with patients, physicians, and departments about benefits and authorization status.
  • Handle denials, provide follow-up, and explore appeal options.
  • Update other departments on intake process status.
  • Notify patients about coverage and payment responsibilities.
  • Assist patients with financial hardship documentation and co-pay cards.
  • Document all interactions in patient records for care coordination.
  • Identify in-network providers if insurance constraints exist and communicate accordingly.
  • Provide leadership, guidance, and training to team members.
  • Develop and suggest workflow process improvements.
  • Participate in meetings and work groups to stay updated on policies and procedures.
  • Train staff on systems, processes, and customer service techniques.
  • Identify deviations from training and processes and address them.
  • Serve as SME for new applications and system upgrades.
  • Promote training and adherence to workflow processes.
  • Ensure compliance with regulations, policies, and best practices.
  • Meet quality, production, and turnaround standards.
  • Perform other duties as assigned.
