Job summary

HomeWell Care Services in Delaware is hiring a Scheduling Coordinator to ensure client service hours are staffed with qualified caregivers, maintaining continuity and quality of care. You will proactively manage open shifts, call-outs, and last-minute coverage, communicating changes to caregivers, clients, families, and the Care Team, while documenting scheduling activities.

Qualifications

• High school diploma or equivalent required.
• Two years of related scheduling, staffing, customer service, home care, health care, or operations experience preferred.
• Excellent written and verbal communication skills and strong customer service orientation.
• Exceptional organizational skills and ability to use scheduling and CRM systems.
• Able to solve problems, prioritize urgent staffing needs, and exercise sound judgment.
• Able to work under pressure and manage multiple demands.
• Present a positive, professional business image.
• Must pass a criminal background check.

Responsibilities

• Schedule client shifts with eligible caregivers matched to service needs.
• Review client care plans before assigning or replacing a caregiver.
• Proactively manage open shifts and last‑minute coverage with urgency.
• Communicate assignments and changes promptly to caregivers, clients, families, and the Care Team.
• Maintain accurate schedules, caregiver availability, and contact details in approved systems.
• Monitor Live View and clock-ins/outs to ensure timely care.
• Investigate late or missed clock-ins and coordinate actions with parties involved.
• Document scheduling activities and communications in approved systems.
• Review shift records and address payroll/timekeeping concerns before deadlines.
• Monitor overtime and obtain authorization when needed.
• Escalate unresolved coverage concerns to appropriate leaders.
• Document attendance patterns and scheduling non‑compliance for follow‑up.
• Identify staffing gaps and communicate needs to Recruiting and leadership.
• Complete weekly/monthly scheduling reports and closing activities.
• Participate in daily operations discussions about open shifts and service interruptions.
• Serve as a liaison for caregivers and promote engagement and accountability.
• Communicate with caregivers about availability and satisfaction, especially in first 90 days.
• Conduce stay interviews and relay caregiver feedback to leadership.
• Support caregiver retention by ensuring caregivers feel informed and appreciated.
• Protect confidential information and use approved systems for HomeWell business.
• Perform other scheduling, staffing, client-service, and operational duties as assigned.
