- Post delinquencies and collection activity twice a month as directed
- Respond to unit owners on ledger questions, balances, and payment issues
- Prepare and process condo certificates / resale disclosure requests
- Attend virtual board and owner meetings after hours to track follow-up action items
- Prepare and send association mailings, including year-end mailings
- Assist with onboarding new associations (data setup, owner records, documents)
- Track and oversee property compliance across the portfolio (inspections, certifications, municipal and state requirements, renewal deadlines)
- Manage yearly vendor contracts (landscaping, snow removal, insurance, elevator, fire safety, etc.), tracking renewal dates and keeping files current
- Request, collect, and compare vendor quotes and proposals for association projects and services
- Prepare bid comparisons and proposal summaries for the Portfolio Manager and boards
- Other duties as assigned
What We’re Looking For
- 2+ year in HOA/condo management, property management, or bookkeeping (CAI or CMCA coursework a plus)

- Experience managing vendor bids, contracts, or compliance calendars
- Strong time management; you hit deadlines without reminders
- Clear, professional, patient communication with owners and board members
- Detail-oriented with numbers and ledgers
- Reliable internet and a quiet workspace
Details
