Job summary

The Hughston Clinic in Montgomery, AL seeks an experienced scheduling specialist to accurately schedule and maintain appointments across the Main Clinic and Satellite Clinics in a fast-paced, high-volume environment.

You will answer multi-line phones, enter patient demographics and insurance data, learn physicians’ protocols, triage and schedule with precision, and manage physician calendars including cancellations and reschedules. Knowledge of HIPAA is preferred.

Qualifications

• High school diploma or equivalent required.
• Basic computer skills required.
• Experience with PBX/multi-line systems preferred.
• Knowledge of HIPAA preferred.

Responsibilities

• Answer multi-phone lines and return messages in a timely manner.
• Accurately enter patient demographics and insurance information.
• Accurately learn each physician’s protocol and apply during scheduling.
• Accurately triage and schedule patients with the correct physician.
• Accurately maintain physician schedules to include canceling and rescheduling.
• Maintain effective oral/written communication with patients, physicians and staff concerning patient appt needs.
• Request records and prepare for physician review.
• Collect prepayments when required for an appointment.
• Collect on all outstanding balances or balances that are in collections prior to scheduling appointment.
• Register and utilize online portals to obtain authorizations.
• As schedule requires, monitor various office equipment for incoming records and file for upcoming appt.
