Administrative duties include preparing reports, handling information requests, processing payments, and supporting a busy branch office with invoicing and records management.

Qualifications

• High school diploma.
• Firm mechanical understanding of trucks and trailers.
• Average PC skills required.
• G-Suite, Excel, Word preferred.

Responsibilities

• Communicate with customers, employees, and others to schedule repairs and answer questions.
• Support Service Manager and Technicians with daily needs.
• Prepare invoices, open repair orders, reports, memos, letters, financial statements and other documents using Google Sheets and Excel.
• Determine the status of the customer account and any payment needs prior to scheduling the work.
• Answer telephones, direct calls and take messages.
• Obtain authorization for all credit card payments and process payments.
• Maintain and update filing, inventory, mailing, and database systems.
• Estimate, schedule and invoice repairs in a knowledgeable manner.
• Coordinate road call requirements and ensure timely work.
• Perform general office duties such as ordering supplies and basic bookkeeping.
• Open, sort, and distribute incoming correspondence.
