Job summary

Long & Foster Inc. is seeking a Guest Services Coordinator to manage rental reservations and tenant check‑ins/outs. You will coordinate maintenance and cleaning services, inspect properties, and ensure accurate records and timely communications with owners.

The role requires a real estate license, strong verbal and written communication, and the ability to work independently with a flexible schedule. Weekend work is required during the summer season.

Qualifications

• High School diploma or equivalent required.
• Experience as rental coordinator or property manager preferred.
• Excellent verbal and written communication skills.
• Ability to work independently and maintain a flexible schedule; weekend work required in summer.
• Real estate license in the working jurisdiction required; continue education as specified by the Real Estate Commission.
• Membership in National, State, and Local Realtors associations preferred.

Responsibilities

• Discuss rental plans and needs by phone and show properties; execute leases for owners.
• Inspect properties before accepting reservations and advise on improvements before rental to the public.
• Maintain maintenance and cleaning records and post accounts accordingly.
• Check tenants in/out; post funds to owners’ accounts and manage disbursements.
• Approve seasonal and year‑round tenants after clearances and reference checks.
• Correspond with owners regarding vacancies, inspections, market rent values, and monthly statements.
• Respond to inquiries, meet with owners, prepare listing agreements, and provide rental agreements.

Job description

Long & Foster Vacation Rentals is seeking a full-time Guest Services Coordinator to serve as the onsite representative at a large condominium community in Rehoboth Beach, Delaware. As the preferred vacation rental agency within the building, Long & Foster manages individually owned vacation rental properties.

This customer-focused role serves as the primary point of contact for property owners, guests, vendors, and building staff. Responsibilities include coordinating reservations, guest arrivals and departures, property readiness, and maintenance and cleaning services while delivering exceptional service. Working closely with internal teams and vendors, the Guest Services Coordinator helps ensure a seamless rental experience and supports the success of Long & Foster Vacation Rentals.

• Assists guests with rental reservations, discusses vacation rental options and needs, and supports the leasing process for rental properties.
• Coordinates guest arrivals and departures, ensuring a smooth check-in and check-out experience while maintaining accurate records and processing related transactions.
• Conducts property inspections and coordinates maintenance, cleaning, and vendor services to help ensure properties are well-maintained and guest-ready.
• Maintains accurate maintenance, cleaning, reservation, and accounting records and directs all required disbursement and accounting information to the appropriate team members.
• Responds to owner and guest inquiries in a professional and timely manner, providing updates regarding property conditions, maintenance, rentals, and related services.
• Develops and maintains positive working relationships with property owners, guests, vendors, and service providers to support a high level of customer satisfaction.
• Works closely with internal team members to coordinate reservations, property readiness, guest concerns, and operational needs.
• Assists prospective property owners by providing information regarding Long & Foster Vacation Rental services and preparing listing and rental-related documentation.
• Documents owner and guest communications and maintains accurate records in accordance with company procedures.
• Supports additional guest services, administrative, and operational responsibilities as assigned.

Additional Information

• This is a full-time, onsite position located within a condominium community in Rehoboth Beach, Delaware.
• Weekend availability is required during the primary vacation rental season, generally from Memorial Day through the end of September.
• Schedule flexibility is required throughout the year to support business needs and seasonal rental activity.

Qualifications:

High School diploma or equivalent combination of training and experience, previous experience as a rental coordinator or property manager, excellent verbal and written communication skills, ability to work independently and maintain flexible schedule. Weekend work required during summer season. Real estate license in jurisdiction in which incumbent will be working required. Must meet Continuing Education requirements as specified by the Real Estate Commission. Must be a member of the National, State, and Local Association of Realtors.

Wage: $21.00 - $25.70 hourly; actual wage is based upon education and experience. Potential for formulary incentive plan, based on financial results.
