The Opportunity
We’re looking for a highly organized, detail-oriented Guest Services Coordinator to support the delivery of exceptional experiences to our guests. This role is key to ensuring all guest needs are addressed smoothly behind the scenes by managing internal communications, workflows, and pre-arrival preparation. You'll collaborate with Guest Service Specialists, operations, vendors, and building teams to ensure no detail is overlooked and every guest feels prioritized.

What You’ll Do
Manage the Guest Services shared inbox and assign cases in Salesforce for efficient follow-up
Coordinate pre-arrival steps including document uploads, inspection form tracking, and custom instructions
Monitor and escalate open or aging guest cases to ensure timely resolution
Track VIP and Key Account arrivals and support a seamless guest experience
Prepare and send guest notices (housekeeping reminders, violation notices, permission to enter, etc.)
Assist with light guest call overflow and route voicemails appropriately
Support coordination with vendors, operations, and field teams for in-house service requests
Maintain daily presence in the New York office and participate in a rotating on-call program
What You Bring
A bachelor’s degree in hospitality, business, or a related field (required)
3–5 years of experience in guest services, hospitality operations, or a coordination-heavy role
Proficiency in Microsoft 365 (Excel, Outlook, Word, Teams)
Familiarity with Salesforce, Oscar, or other CRM/property management systems
Exceptional written and verbal communication skills
A proactive, composed, and solutions-oriented mindset—especially under pressure
A passion for making processes better and ensuring no task slips through the cracks
Additional Details
This is a full-time, in-person role in our New York office
On-call participation is required, including some evenings and weekends
The role requires sitting, standing, walking, and using a computer for extended periods, with or without reasonable accommodation
Compensation
