Job summary

Kalahari Resorts & Conventions in Virginia is hiring a Group Rooms Manager to lead housing for contracted groups, coordinate group reservations and blocks, and serve as liaison among Sales, Event Planners, Front Office and hotel departments to ensure seamless bookings. This leadership role emphasizes clear communication, attention to detail, and excellent guest service.

You will build rapport with event contacts, manage accounts, and support sales and catering teams to deliver outstanding group

Qualifications

• Knowledge of the practices and procedures of a resort and convention center.
• Proficient in Microsoft Word and Excel.
• Experience or familiarity with Passkey, Delphi and Visual 1 (V1) preferred.
• Strong time management and ability to manage multiple accounts.

Responsibilities

• Build, manage, and maintain all group room blocks in Passkey/V1.
• Manage guest lists and reservation changes, with timely communication to internal departments and clients.
• Oversee and process group reservations, room blocks, and special requests from clients.
• Act as a point of contact between the Sales team, Front Office and other departments.
• Oversee posting, billing, and reconciliation of group folios; complete reports, forecasts, and audits.
• Maximize revenue through up-selling opportunities, maintain client relationships, and collaborate across departments for seamless event execution.
• Adhere to policies in contract processing, data management, and communication; participate in meetings and support Sales, Catering and Conference Services.
• Provide administrative support for sales and catering offices and assist with sales activities.

Now Hiring: Group Rooms Manager

In this role, you’ll serve as the housing contact for groups once they are under contract with Kalahari. You’ll manage group reservations and blocks by serving as the liaison among the sales team, event planners, and hotel departments to ensure seamless bookings and execution. You’ll also be responsible for establishing rapport with event contacts, providing excellent communication by phone and in person, and demonstrating attention to detail when managing accounts.

You’ll enhance the guest experience by creating smooth, well-managed group stays through clear communication, accurate information, and strong attention to detail. You’ll also support associates by keeping group bookings organized and consistent so they can deliver great service with confidence.

Salary Range: $60,000k - $70,000k/yr

Key Responsibilities

What We’re Looking For

• General knowledge of the practices and procedures of a resort and convention center.
• Proficient in Microsoft Word and Excel.
• Experience and knowledge with Passkey, Delphi, and Visual 1 (V1) is preferred, but not required.
• Possess strong time management skills.
• Capable of managing multiple accounts.
