Job summary

OpenAI Foundation in San Francisco is seeking a Senior Grants Officer, Systems & Data to manage grants and serve as the Foundation’s primary grants management system administrator. reporting to the Head of Grant Operations. You will partner with Finance on grant and payment data, and with IT on security and integrations.

Approximately 40% of time on hands-on grants management and 60% on GMS administration, data quality, reporting and systems projects. The balance may shift as needs evolve.

Qualifications

• 6+ years in grants management, with full lifecycle experience from due diligence to post-award administration.
• Experience administering international grants is helpful.
• Strong data analysis and reporting skills for dashboards and reconciliations.
• Ability to translate grantmaking needs into practical system requirements and workflows.

Responsibilities

• Serve as the Foundation’s primary GMS administrator and internal expert, managing system configuration and access changes.
• Independently conduct grant due diligence and compliance reviews, identify risks, and coordinate terms and reporting expectations.
• Manage a grant portfolio through full lifecycle: agreements, payments, renewals, closeout, and records.
• Maintain reliable grant data, develop reports and dashboards, and work with Finance on reconciliations.
• Develop and maintain GMS guidance and train colleagues on using the system.
• Lead or support grant operations projects and process improvements.
