About OpenAI Foundation

AI is already changing how people work, learn, and access care. It has the potential to unlock extraordinary benefits—faster medical breakthroughs, accelerated scientific discovery, more personalized services in healthcare and education, new tools for creativity and invention, higher productivity and economic growth, improved public services like transportation systems, and so much more.
But building powerful systems to benefit humanity is only a part of the work of our mission. Advanced AI models will also present new challenges that are already surfacing, and we need to be prepared to identify these challenges and develop solutions to address them.
These are the two dimensions of what we’re building the Foundation to do. We aim to enable the use of AI to find solutions to humanity’s hardest problems, transform what people are capable of, and deliver real benefits in people’s lives—while working hard with partners to be ready for new challenges, and to help make society resilient, as AI advances.
This work is just beginning. Over the next year, as we quickly ramp up, the Foundation expects to invest at least $1 billion across life sciences and curing diseases, jobs and economic impact, AI resilience, and community programs. This includes early investments toward our previously announced $25 billion commitment to curing diseases and AI resilience.

About The Role

We are looking for a Senior Grants Officer, Systems & Data to manage grants and serve as the Foundation’s primary grants management system (GMS) administrator and internal expert. Reporting to the Head of Grant Operations, this senior individual contributor will bring independent judgment to grant review and own the systems, data quality, and reporting that support our grantmaking.

You will partner with the Head of Grant Operations and implementation consultant to support GMS implementation and manage ongoing administration after handover. You will partner with Finance on grant and payment data, with Operations/IT on security, integrations, and technical support, and with program colleagues on practical grantmaking workflows.

We anticipate approximately 40% of your time will focus on hands‑on grants management, including due diligence and compliance, and 60% on GMS administration, data quality, reporting, and systems projects. The balance may shift during implementation and as the Foundation’s needs evolve.

This role requires sound grantmaking judgment, comfort with data and technology, and a willingness to work directly in the details. This role will carry a deliberately bounded grant portfolio so there is protected capacity for the ongoing systems responsibilities.

What you’ll do

  • Serve as the Foundation’s primary GMS administrator and internal expert. Partner with the Head of Grant Operations and implementation consultant to support implementation, then manage ongoing system administration and improvements, with independent approval for sensitive access and approval‑workflow changes.

  • Independently conduct and document grant due diligence and compliance reviews, identify material risks, and develop recommendations. Coordinate further review and help establish grant terms and proportionate reporting expectations with the Head of Grant Operations, program colleagues, and legal counsel.

  • Manage an assigned grant portfolio through the full lifecycle, coordinating agreements, payment requests, amendments, renewals, and closeout. Track grant conditions, review grantee reports, and maintain complete records in partnership with program colleagues, Finance, and legal counsel.

  • Maintain reliable grant data, develop reports and dashboards, and work with Finance to reconcile grant and payment records. Translate colleagues’ reporting needs into practical system fields and workflows.

  • Develop and maintain practical GMS guidance and documentation, and train and support colleagues in using the system effectively.

  • Lead or support grant operations projects and process improvements, providing coverage across the team as priorities and workloads evolve.

Qualifications

  • Hands‑on experience administering a grants management system, including configuring workflows, supporting users, and developing reports.

  • 6+ years of relevant experience in grants management, grant operations, or related fields, including independently managing grants through the full lifecycle—from due diligence and compliance review to agreements and post‑award administration. Experience administering international grants is also helpful.

  • Sound grantmaking judgment and working knowledge of grant compliance, including the ability to identify material risks and recognize when specialist review is needed.

  • Strong spreadsheet and data analysis skills, including reconciling records, checking accuracy, and developing useful reports and dashboards.

  • Ability to translate grantmaking needs into practical system requirements, troubleshoot issues, and manage projects through completion.

  • Clear communication, strong organization, and reliable follow‑through. Comfortable collaborating across teams, handling sensitive information, and adapting as priorities evolve.

  • Experience supporting GMS implementation, data migration, or consultant handover is preferred.

  • Experience with workflow automation or responsible applications of AI is preferred.

Compensation

The annual base salary range for this role is $185,000 to $205,000 USD.
