Job summary

The American Heart Association seeks an Operations Manager, Government Grants to provide operational coordination across grants from PI to implementation teams. This full-time, grant-funded role offers home-based flexibility with reporting lines to the National Government Funding Director.

Responsibilities include budget planning, expense tracking, and documentation for subrecipients and contractors, ensuring compliance with NIH policies and OMB Uniform Guidance.

Qualifications

• Bachelor's degree or equivalent work experience.
• At least three (3) years of relevant experience.
• Understanding of financial systems, journal entries, and expense management, including budget development.
• Understanding of OMB Uniform Guidance and NIH policies.
• Familiarity with federal grantors such as CDC, HRSA, and NIH.
• Experience in project management in compliance with federal and state regulations.

Responsibilities

• Expense Review with project leads to ensure expenses and invoices are accurate and submitted promptly.
• Identify and coordinate prior approval or waiver requirements with Finance, Legal, or OFP.
• Support budget planning, monitoring, and forecasting to align resources with funding and federal cost principles.
• Support review of personnel allocations and effort-related materials for allowability.
• Coordinate documentation for contractors and subrecipients and monitor related activities.
• Draft or compile responses for internal review and track milestones and reporting requirements.
• Support cost transfers or expense reallocations with required approvals.
• Maintain audit-ready project files and assist with closeout activities.
• Perform other duties and projects as assigned.
