Job summary

Vibrant Emotional Health seeks a Grants Coordinator to provide administrative support across the full grant lifecycle, from proposal development to closeout. You will collaborate with the Grants Manager and stakeholders to ensure compliant, on-schedule grant activities, especially for SAMHSA and 988/Lifeline programs.

The ideal candidate is highly organized, detail-oriented, and eager to learn federal grant operations within a nonprofit setting.

Qualifications

  • Bachelor’s degree preferred; equivalent experience considered.
  • 2+ years of experience supporting grants, contracts, or nonprofit program administration (federal grant exposure preferred)
  • Basic understanding of the federal grant lifecycle and related regulations (e.g., 2CFR Part 200)

Responsibilities

  • Coordinate proposal and reporting processes: Support preparation, editing, and submission of grant proposals, amendments, and reports by gathering materials, formatting documents, and tracking deadlines.
  • Maintain accurate grant records: Track all grant-related deliverables, milestones, and correspondence using internal systems; ensure files and documentation are up to date and audit-ready.
  • Assist with compliance and documentation: Support adherence to federal and organizational policies (e.g., 2CFR Part 200), ensuring proper recordkeeping and documentation for procurement, contracts, and reporting.
  • Facilitate communication and collaboration: Schedule meetings, coordinate reviews, and ensure timely communication between Program, Finance, Legal, and external partners.
  • Support budget and procurement processes: Assist with collecting quotes, preparing purchase documentation, and monitoring vendor or consultant deliverables under grant-funded projects.
  • Track and update grant calendars: Maintain centralized calendars and dashboards for submission deadlines, progress reports, and key milestones.
  • Contribute to quality and process improvements: Identify opportunities to streamline workflows and improve grant management efficiency.
  • Participate in professional development: Engage in DEIB learning and training related to grant compliance or nonprofit funding.
  • Other duties as assigned.

Department: Finance | Reports to: Grants Manager | Location: Remote | Salary Range: $36.92 - $49.39

Position Overview:

The Grants Coordinator provides administrative and coordination support across the full lifecycle of grant management—from proposal development through submission, tracking, reporting, and closeout. Working closely with the Grants Manager and internal stakeholders, this role helps ensure that all grant‑related activities are organized, compliant, and completed on schedule, particularly for federally funded programs such as SAMHSA and the 988/Lifeline initiative. Required Skills/Abilities:


  • Strong organization, time management, and attention to detail

  • Clear writing, editing, and document formatting

  • Proficiency with Microsoft Office, Google Workspace, and database tools

  • Ability to coordinate multiple projects and meet deadlines collaboratively



Required Qualifications:


  • Bachelor’s degree preferred; equivalent experience considered

Physical Requirements:


  • Must be able to remain in a stationary position 50% of the time.

  • Will frequently communicate over video calls with internal and external colleagues.
