The Grants Coordinator position is responsible for developing and submitting grant proposals, researching grant opportunities, managing existing grants, and collaborating with internal and external stakeholders to ensure successful grant coordination.

Essential Duties and Responsibilities:

  • Work collaboratively with the director of development and development coordinator to administer the grants program and support the work of other development team members
  • Research local, regional, and national foundation and government funding opportunities and requests for proposals (RFPs) to develop a pipeline of current and prospective funders for the museum’s general operating expenses, exhibits, and programs. Maintain a prospect list with deadlines that can be shared with project personnel.
  • Work closely with project leaders in other departments to develop proposal ideas, set timelines, gather necessary information, and formulate grant budgets.
  • Write and submit compelling proposals, letters of intent (LOIs), and interim and final grant reports in accordance with guideline requirements and standards.
  • Monitor compliance with grant agreements and budgets. Track outcomes and spending in cooperation with the finance team and project leads. Coordinate with the development and marketing teams to ensure grantor organizations receive appropriate recognition.
  • Communicate by phone, email, and in person with current and prospective funders regarding proposal opportunities and submissions.
  • Maintain a grants-related file system that is up-to-date and accessible in a shared server folder
  • As part of the Eiteljorg team, help provide the best visitor and donor experiences possible. Assist as needed during peak visitation, public programs, and special events.

Required Skills, Competencies, and Qualities:

  • Excellent interpersonal, organizational, and communication skills, and the ability to payclose attention to detail
  • Creative and technical writing skills with the ability to distill complex information into persuasive, engaging reading material
  • Ability to multitask and handle multiple deadlines simultaneously
  • Strong work ethic and capacity to complete job duties with little supervision; self-motivator
  • Ability to contribute to a positive and diverse work environment by collaborating with co-workers and other museum staff

Qualifications and Work Experience Requirements:

  • Bachelor’s degree or equivalent professional experience
  • At least one year of proven experience in professional writing, grant writing, general fundraising, arts administration, or nonprofit work
  • Ability to read, interpret, and analyze documents such as reports, publications, and applications
  • Ability to research prospective funding opportunities, develop multiple proposals simultaneously, steward relationships with current funders, and provide accurate and timely reports on time
  • Understanding of nonprofit budgeting and ability to monitor spending compliance
  • Ability to maintain confidentiality and sensitivity to people from a wide range of cultures and backgrounds
  • Ability to work collaboratively across departments and engage with other museum staff while also autonomously managing grant program workflows

Although the position generally follows a standard workweek, flexibility is required to accommodate events, meetings, and other activities that may occur outside of regular business hours, including evenings and weekends.
