About the Role

The Quaboag Regional School District is seeking a highly skilled, persuasive, and detail-oriented Grant Writer to identify, develop, and secure external funding opportunities. This position is responsible for researching, drafting, and submitting high-quality grant proposals to federal, state, and private philanthropic organizations.

The Grant Writer will collaborate with various stakeholders, including district leadership, building principals, classroom teachers, and community partners, to align funding opportunities with the district’s strategic educational goals, facilities needs, and student enrichment programs. Additionally, this role will support the district's business operations by assisting with day-to-day Finance Office functions as needed.

Core Responsibilities
Proposal Development & Writing
  • Draft Compelling Proposals: Write, edit, and compile clear, highly persuasive grant applications, letters of intent, and project narratives that align with Grantmaker criteria.
  • Coordinate Collaborations: Gather technical data, student demographics, budget information, and program goals from district staff to build comprehensive proposal packages.
  • Ensure Compliance: Review all grant guidelines, submission requirements, and state/federal regulations thoroughly to ensure 100% compliance prior to submission.
  • Meet Strict Deadlines: Manage the end-to-end development calendar to ensure all grant milestones and final submissions are completed ahead of schedule; this includes managing internal timelines to ensure district administrators have sufficient time to thoroughly review grant applications prior to submission.
Research & Strategic Planning
  • Prospect Identification: Proactively research and vet potential funding sources, including federal (ED), state (DESE), corporate, and private foundations.
  • Align District Needs: Match district priorities—such as out-of-school-time programming, technology upgrades, special education initiatives, and facility modernizations—with available grant portfolios.
  • Grant Administration & Staff Collaboration: Manage awarded grants by tracking expenditures, monitoring timelines, and ensuring the district strictly adheres to the approved budget; oversee and process all grant amendments while actively collaborating with program staff to keep them informed of grant requirements, changes, and ongoing timelines. Attend professional development sessions, relevant grant meetings, and professional networking opportunities as needed to remain aligned with best funding practices.
Accounting & Finance Office Support
  • Process Weekly Deposits: Securely receive, record, and process various district and program receipts for weekly bank deposits utilizing the School ERP Pro System in coordination with finance office guidelines.
  • Perform Reconciliations: Conduct routine financial reconciliations of specific ledger entries, accounts, or grant-related spending to ensure accuracy and resolve any discrepancies.
  • Provide Day-to-Day Clerical Support: Assist the Director of Finance with standard administrative and book-balancing activities to support smooth overall business operations.
Job Requirements
Education & Experience
  • Education: Bachelor’s degree in English, Communications, Journalism, Education, Public Administration, or a closely related field is highly preferred.
  • Experience: Minimum of 2 to 3 years of proven experience in grant writing, professional fundraising, or technical proposal development, preferably within a K-12 public school system or non-profit educational sector.
  • Track Record: A demonstrated, verifiable history of securing competitive state, federal, or private foundation grants is highly desirable.
Skills & Competencies
  • Technical Proficiency: Advanced skills in research databases, online grant portals (such as Grants.gov or the Massachusetts DESE security portal), the School ERP Pro System, and spreadsheet software (Excel/Google Sheets) for budget tracking.
  • Communication & Detail: Exceptional written and verbal communication skills, with a sharp eye for detail, structural editing, and data presentation.
  • Self-Directed: Strong organizational and time-management skills, with the ability to manage multiple writing projects independently under tight deadlines.
