Job summary

The Billing Specialist will coordinate and maintain grant billing and financial reporting for The Salvation Army USA Western Territory from our Seattle area office. Primary duties include preparing monthly billings, posting journal entries, and reconciling grant deposits while ensuring funder compliance.

Requires an accounting/finance background with 2 years in grant accounting preferred. In-office role with potential for partial remote work; strong Excel and ERP system skills are essential for

Qualifications

• Strong knowledge of accounting principles and financial reporting.
• Strong analytical and problem-solving skills with a high degree of attention to detail.
• Ability to interpret grant requirements and translate them into practical financial processes.
• Ability to manage multiple deadlines and priorities while maintaining accuracy.
• Strong written and verbal communication skills.
• Ability to work collaboratively with Corps, accounting personnel, funders, auditors, and internal departments.
• Proficiency with Microsoft Excel and financial/accounting systems.
• Ability to maintain confidentiality and exercise sound professional judgment.
• Ability to identify opportunities for process improvement and implement effective solutions.

Responsibilities

• Coordinate and maintain accurate, timely grant billing and financial reporting activities.
• Prepare and post grant-related journal entries and allocations.
• Monitor grant trends and coding; reconcile deposits and prepare funder billings.
• Provide documentation for audits and ensure compliance with funder requirements.
• Maintain organized electronic grant billing files and support records.
• Identify discrepancies and coordinate with departments to resolve issues.
• Streamline billing processes through improvements.
• Support ad hoc requests and special projects from Accounting.

Education

Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field
