The College of Arts and Sciences (CAS) is the intellectual hub ofthe University of Oregon, serving nearly two-thirds of allstudents. Home to more than 800 faculty across 50+ departments andprograms in the humanities, natural sciences, and social sciences,CAS is a dynamic and interdisciplinary academic community. Ourfaculty and advisors work closely with students to develop criticalthinking, analytical reasoning, and clear communication skills toaddress real-world challenges. CAS staff and managers are integralto this work, playing vital roles in supporting academic excellenceand advancing the mission of both the College and theUniversity.

This position is in an Academic Service Unit (ASU), which housesstaff and managers who provide administrative, strategic, andoperations support to multiple academic departments in CAS.

Position Summary

The Graduate Program Coordinator supports graduate students withinthe assigned Academic Support Unit (ASU), and assists the AcademicPrograms Manager in administrative tasks and special projects,developing an in-depth knowledge and expertise to consistentlycoordinate and administer graduate program operations and specialprojects in assigned areas. This position is a primary, day-to-daypoint of contact for graduate students, responsible forindependently communicating with individuals and groups at alllevels of the university to research and interpretinformation.

This position oversees and coordinates the administration of thegraduate programs within the assigned ASU. In assigned areas, theposition will provide guidance to students and faculty related tocurriculum, application requirements, academic planning andscheduling, and special programs. This position also assists theAcademic Programs Manager and ASU faculty with special projects asneeded. This position is responsible for communicating with currentand prospective students about deadlines, rules, and requirements;managing graduate websites; graduate student recruitment effortstoward enrollment goals; maintaining graduate student records;monitoring student progress, and compiling all graduateapplications.

The Graduate Program Coordinator also works with the PsychologyDirector of Clinical Training to support clinical programadministration, including student admissions and recruitment,regulatory requirements, and accreditation through the AmericanPsychological Association (APA) and Psychological Clinical ScienceAccreditation System (PCSAS). In addition, this role supportscurrent student academic and program milestones and providesprogram verification for alumni.

Special projects require independent research, analysis, review,and interpretation. The position may initiate and/or propose suchprojects and studies, or be assigned projects from DepartmentHeads, Directors, or Academic Programs Manager. This position hasresponsibility for undertaking projects from set-up throughcompletion and has near-exclusive control of many projects.Examples of projects include special event planning (e.g.,symposia, conferences, etc.) and course schedule development.

This position reports directly to the Academic Programs Manager andworks on the Academic team within the ASU. Decisions likely to bemade in this position include implementing departmental priorities,developing procedures, appropriately interpreting and applyingestablished policies and procedures, and recommending appropriateactions regarding confidential issues.

Minimum Requirements
  • Two (2) years of general clerical experience. One year of whichincluded typing, word processing, or other experience generatingdocuments; OR
  • An Associate's degree in Office Occupations or Office Technology;OR
  • Graduation from a private school of business with a Certificatein Office Occupations or Office Technology and one year of generalclerical experience.

  • Skilled in Microsoft Office, Word, Excel, PowerPoint, andOutlook; ability to learn other specialized software.
  • Ability to work with faculty, staff, and students from diversebackgrounds in support of an inclusive, welcomingenvironment.
Preferred Qualifications
  • Experience working in higher education.
  • Experience identifying, analyzing, and tracking large volumes ofdata/information on an ongoing basis while correcting identifieddiscrepancies.
