Responsibilities

  • Represent graduate programs at regional recruiting and marketing events.
  • Provide detailed academic advising to graduate students, faculty, and staff from inquiry to graduation.
  • Assist with registration and retention efforts for graduate programs.
  • Review and submit student requests for course substitutions with program coordinator approval.
  • Maintain knowledge of university graduate student policies and procedures.
  • Collaborate with faculty, staff, and students to update advising materials and stay current on trends.
  • Prepare reports on advising trends and student demographics.

SUMMARY:

The Graduate Enrollment Specialist/Advisor, will participate in and coordinate activities, events, and programs that promote the various The Graduate Enrollment Specialist/Advisor, under direction, coordinates and manages recruiting, retention, and advising activities necessary to carry out the mission and strategic plans of the Graduate School. Provides detailed information and university resources to enable students to meet their academic needs and resolve issues while working at East Texas A&M University located in Commerce, Texas.

DUTIES & RESPONSIBILITIES:
  • Attends and represents university, college, and the Graduate School at various recruiting and/or marketing events in the region served by East Texas A&M University and East Texas A&M-Dallas.
  • Represents East Texas A&M University graduate programs to both internal and external constituents, and other targeted audiences.
  • Provides detailed academic advising to graduate students, faculty, and staff related to aspects of students progressing through graduate degree programs from inquiry through graduation.
  • Provides student advisement and assists with registration and retention efforts for graduate programs.
  • Reviews and submits student requests for course substitutions with program coordinator approval.
  • Provides recommendations for processes to ensure high quality and standards in all graduate programs and the Graduate School, including benchmarking master’s level programs in the United States.
  • Maintains current and extensive knowledge of university graduate student policies and procedures.
  • Promotes the well-being of the office by cross-training with co-workers, briefing co-workers on current activities, and updating important skills pertaining to graduate recruitment and advising.
  • Collaborates with university faculty, staff, and students to update advising materials while keeping abreast of recruiting and advising trends within the Graduate School.
  • Assists with preparation of necessary reports on advising trends, student demographics, etc.
  • Uses university programming(e.g., Target X, EAB, DegreeWorks, Banner, WebFocus, Laserfiche) and various modes of communication for the tracking and advising of graduate students.
  • Keeps abreast of current information about graduate programs.
  • Experience with social media management and content creation is essential. Proficiency in creating promotional materials, such as flyers, is also required.
  • Other duties as assigned.
MINIMUM REQUIREMENTS:
  • Education: Bachelor’s degree or equivalent combination of education and experience.
  • Experience / Knowledge / Skills: Two (2) years of related experience in advising recruitment, marketing and/or customer service. Knowledge of word processing and spreadsheet applications. Strong interpersonal and organizational skills. Verbal and written communication skills.
  • Knowledge of: Knowledge of word processing, spreadsheet, and database applications
  • Ability to: Have strong verbal and written communication skills. Must possess excellent interpersonal and organizational skills. Ability to multitask and work cooperatively with others. Ability to present information clearly and concisely. Ability to communicate information individually, in small groups, or in formal large group settings.

  • Physical Requirements: the ability to lift 25/50 pounds
  • Other Requirements: Must be able to travel up to 35% within Texas, and with potential regional or national travel. Availability to work beyond regular office hours, including evenings and weekends, is required.
PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Master’s degree in a discipline offered at the university. Prior work experience in higher education. Familiarity with the East Texas A&M University campus, its historical landmarks, and points of interest and location of both academic and non-academic offices. Experience with recruitment and database management.
