Job summary

Jobtailor is seeking a capable Programs Administrator to join our GME leadership team in Phoenix. You will support the Program Director, develop knowledge of ACGME requirements, and assist with accreditation efforts and resident/fellow programming.

The role includes recruitment, onboarding, project development, and managing program finances. You will maintain databases, coordinate with faculty and trainees, and help liaise with internal and external stakeholders.

Qualifications

  • Associate degree or equivalent experience.
  • 0-2 years’ experience of office administrative experience, preferably in a healthcare and/or education setting.
  • Experience in general medical education and/or leadership management, human resource experience preferred.
  • Equivalent combination of education and/or work experience considered.
  • Demonstrated strong organizational skills with attention to detail.
  • Ability to manage multitasking and high-level complex scheduling, action lists and timelines with high-level accuracy.
  • Strong customer service skills when working with internal and external customers.
  • Ability to develop strong collaborative relationships.
  • Demonstrated written and verbal communication skills.
  • Strong administrative management skills.
  • Proficient with Microsoft Office.
  • TAGME certification preferred but not required.

Responsibilities

  • Support the Program Director as a member of the GME program leadership team.
  • Develop knowledge of ACGME Core and Program Requirements, policies, and procedures.
  • Assist with accreditation efforts, educational programming, and resident/fellow support.
  • Recruit and onboard trainees.
  • Develop projects and manage program financials.
  • Maintain databases and communicate with faculty and trainees.
  • Manage internal and external program relations.
  • Track and gather accreditation data and complete surveys/reports.
  • Arrange ACGME site visits, self-studies, and special reviews; maintain Program Evaluation Committee minutes and action items.
  • Maintain ERAS; register for NRMP and SOAP; confirm quotas; distribute applications; organize recruitment days; communicate with applicants; schedule interviews and rank meetings.
  • Enter and monitor resident/fellow schedules and call schedules; manage leave and coordinate with affiliated sites; run work-hour compliance reports.
  • Liaise between the Program Director, residents/fellows, GME Office, and internal/external stakeholders.
  • Assist residents/fellows with program questions and administrative matters.
  • Work with the Program Education Committee on curricula, workshops, and bootcamps.
  • Create, distribute, and track evaluations; report conference attendance to the Clinical Competency Committee.
  • Set up conferences and distribute orientation materials.
  • Prepare communications, update websites, schedule meetings, prepare agendas and materials, take minutes, and distribute them.
  • Review budgets, track professional development accounts and spending, prepare projections, arrange travel, and prepare reimbursement reports.
  • Distribute and interpret policies and procedures.
  • Track leaves, submit ACGME temporary increases, collect credentialing documents, monitor licensure and required training, and prepare J-1 visa documentation
  • Organize resident/fellow education, wellness, and social events; manage event arrangements, swag, address lists, and applicable examinations
