Job summary

Insitu, a Boeing subsidiary in Washington, seeks a Trade Show and Event Specialist to plan and execute defense and aerospace trade shows, internal events, and all-hands meetings. You will coordinate with internal teams and external partners to ensure clear objectives, on-time delivery, and compelling attendee experiences.

As a hands-on planner, you will manage exhibit logistics, coordinate media and vendor relations, and help shape event branding and research.

Qualifications

• Minimum 3 years of hands-on experience in event planning, trade show coordination, or similar project management roles.
• Bachelor’s degree with 6-9 years of related professional experience, or a master’s degree with 4-7 years; comparable advanced experience or certificate program may also be considered.
• Demonstrated ability to manage complex logistics for exhibit setups, including technology or product displays; experience with basic inventory management of event assets.
• Proven track record of managing multiple projects simultaneously, with excellent follow-through and proactive coordination.
• Exceptional attention to detail and strong organizational and time management skills.
• Outstanding critical thinking, interpersonal, problem-solving, and communication skills; able to effectively present ideas and respond to stakeholder and vendor inquiries.
• Highly adaptable and able to thrive under pressure; skilled at multitasking and shifting priorities while delivering high‑quality event experiences.
• Strong project management skills - able to develop and execute plans, hold teams accountable, and pivot as needed to overcome challenges.

Responsibilities

• Plan, organize, and execute company trade shows and internal events, including major industry exhibitions, all-company meetings, and customer engagements.
• Work closely with internal teams and external partners to define event objectives, requirements, and success criteria.
• Develop event scope and display strategies, manage budget, monitor expenditures, and ensure on-time, on-budget delivery
• Serve as primary point of contact onsite to coordinate schedules, facilitation media/customer interactions, and deliver excellent attendee experiences
• Ensure facility clearances for internal events and adhere to all company compliance protocol
• Provide ad hoc event marketing, support speaking engagements, contribute to product branding and conduct customer and market research as needed
• Consult on Trade Show schedule and provide recommendations and insight on most effective events to attend
• Develop, monitor, and track key metrics for trade show and event engagement; identify creative approaches to increase meaningful leads
