Job summary

Insitu, based in Bingen, WA, seeks a Trade Show and Event Specialist to plan, organize and execute defense and aerospace trade shows and internal company events. You will collaborate with teams and partners to define objectives, manage scope and budget, and ensure on-time delivery while delivering exceptional attendee experiences.

The role requires strong coordination, attention to detail and project management skills, with hybrid on-site work and up to 40% travel.

Qualifications

• Minimum 3 years of hands-on experience in event planning, trade show coordination, or similar project management roles.
• Bachelor’s degree with 6-9 years of related professional experience, or master’s with 4-7 years; advanced experience or certificate may be considered.
• Proven track record of managing multiple projects with proactive coordination and follow-through.
• Experience coordinating exhibit setups, technology displays, and basic event asset inventory.

Responsibilities

• Plan, organize, and execute company trade shows and internal events, including major industry exhibitions and all-hands meetings.
• Collaborate with internal teams and external partners to define event objectives, requirements, and success criteria.
• Develop event scope, display strategies, manage budget, and ensure on-time, on-budget delivery.
• Coordinate onsite as primary point of contact for schedules, media interactions, and attendee experience.
• Ensure facility clearances and adherence to company compliance for internal events.
• Provide ad hoc event marketing support, assist with speaking engagements, and contribute to product branding.
• Develop, monitor, and analyze metrics to improve trade show engagement and lead quality.

What you’ll do:

• Plan, organize, and execute company trade shows and internal events, including major industry exhibitions, all-hands meetings, and customer engagements.
• Work closely with internal teams and external partners to define event objectives, requirements, and success criteria.
• Develop event scope and display strategies, manage budget, monitor expenditures, and ensure on-time, on-budget delivery.
• Serve as primary point of contract onsite to coordinate schedules, facilitation media/customer interactions, and deliver excellent attendee experiences.
• Ensure facility clearances for internal events and adhere to all company compliance protocol.
• Provide ad hoc event marketing, support speaking engagements, contribute to product branding and conduct customer and market research as needed.
• Consult on Trade Show schedule and provide recommendations and insight on most effective events to attend.
• Develop, monitor, and track key metrics for trade show and event engagement; identify creative approaches to increase meaningful leads.

Education & Experience

Minimum 3 years of hands-on experience in event planning, trade show coordination, or similar project management roles. Bachelor’s degree with 6-9 years of related professional experience, or a master’s degree with 4-7 years; comparable advanced experience or certificate program may also be considered. Demonstrated ability to manage complex logistics for exhibit setups, including technology or product displays; experience with basic inventory management of event assets. Proven track record of managing multiple projects simultaneously, with excellent follow-through and proactive coordination. Exceptional attention to detail and strong organizational and time management skills. Outstanding critical thinking, interpersonal, problem-solving, and communication skills; able to effectively present ideas and respond to stakeholder and vendor inquiries. Highly adaptable and able to thrive under pressure; skilled at multitasking and shifting priorities while delivering high-quality event experiences. Strong project management skills - able to develop and execute plans, hold teams accountable, and pivot as needed to overcome challenges.

Preferred Education & Experience

• Bachelor’s degree in marketing, communications, event management, hospitality, or a related field.
• Previous experience supporting defense, aerospace, or similarly regulated and technical industries.
• Experience in creating effective trade show materials; understanding customer experience and needs.
• A reputation for bringing fresh creative thinking to events and trade show.

Travel Requirement

This position requires Domestic and International travel up to 40%.

In-Office Requirement Statement: (Hybrid)

This position is eligible for hybrid work. It is our strong preference that this position is on‑site 3 days per week to allow for maximum collaboration and connection to the team and product. However, depending on the candidate’s location, experience, and qualifications, we may have some flexibility in the frequency of on‑site days.

Typical Hiring Range: 74,500.00 - 102,300.00
