Job summary

Arena Club is seeking a Strategic Recruiting Coordinator to own end-to-end interview logistics and candidate communications for our global functions. You will drive scalable hiring processes across the US, UK, and India, and optimize the interviewing workflow to support fast growth.

In this high-visibility role, you will manage multi-timezone scheduling, travel logistics for on-sites, and administer our scheduling tools while partnering with recruiters and hiring managers to improve efficiency.

Qualifications

• 3+ years of experience in recruiting coordination or talent operations within a fast-moving startup environment
• Hands-on experience with modern scheduling automation platforms such as ModernLoop, GoodTime, Prelude or similar tools
• Global coordination capabilities across US, UK, and India time zones
• Excellent written and verbal communication, with clear candidate resources
• Strong stakeholder management, partnering with interviewers and hiring managers
• High candidate empathy and team-first attitude

Responsibilities

• Own complex, multi-timezone scheduling across corporate functions
• Manage candidate travel and accommodation for on-sites in LA, SF, London, and Oregon
• Serve as primary administrator for our automated scheduling ecosystem and optimize templates
• Join intake meetings to map interview loops, define interviewer panels, and set up evaluation templates
• Draft and maintain candidate resources, prep guides, and messaging templates
• Monitor weekly coordination metrics and identify process improvements
