Job summary

Midwest Communications, Inc. is seeking an Office Coordinator to keep daily operations running smoothly across departments including payroll, traffic, sales, and HR. You’ll manage the front desk, assist with onboarding, and coordinate station events and promotions to ensure timely execution.

You’ll work with a team to maintain office efficiency, handle administrative tasks, and support special projects. This role offers full-time hours and benefits in a collaborative environment.

Qualifications

  • Have a high school diploma or GED equivalent.
  • Demonstrate strong organizational and time-management skills.
  • Possess a valid Wisconsin driver’s license and reliable transportation.
  • Accounts receivable and/or accounts payable experience preferred but not necessary.
  • Be able to pass a background check and motor vehicle record check.

Responsibilities

  • Manage front desk operations, including answering phones and greeting employees, clients, and contest winners.
  • Keep the front office, lobby, and common areas organized and welcoming.
  • Coordinate routine office maintenance and cleaning services and manage office equipment needs.
  • Order office supplies and other administrative materials as needed.
  • Handle outgoing shipments and distribute incoming mail; assist with onboarding.
  • Support payroll by reviewing live ads and voice tracking for discrepancies.
  • Enter incoming checks, deposits, and maintain daily traffic logs.
  • Assist sales with projects and maintain the company employee listing with the Chamber.

Office Coordinator

Behind every great radio station is someone making sure the details don’t fall through the cracks. From keeping the office running smoothly to supporting sales, finance, traffic, promotions, and station events, you’ll be the person who keeps a lot of moving pieces moving in the right direction.

Your Team

As the Office Coordinator, you’ll work with individuals across the company. This includes payroll, traffic, sales, HR, and on-air talent to keep day-to-day operations running smoothly.

Your Responsibilities
Office Administration/Finances
  • Manage front desk operations, including answering phones and greeting employees, clients, and contest winners.
  • Keep the front office, lobby, and common areas organized and welcoming.
  • Coordinate routine office maintenance and cleaning services as well as maintain copier and general office equipment needs.
  • Order office supplies and other administrative materials as needed.
  • Manage outgoing FedEx and UPS shipments and distribute incoming daily mail.
  • Create badges and lanyards for new employees and assist with new-hire paperwork and onboarding.
  • File outreach and other administrative forms.
  • Support payroll by reviewing live ads, remotes, and voice tracking and helping identify minor discrepancies.
  • Enter incoming checks and prepare deposits.
  • Make bank deposits and maintain credit card logs and payment entries.
  • Enter and maintain daily traffic logs.
Sales & Business Support
  • Update daily SGA and pacing reports.
  • Print, organize, bind sales documents and pull monthly Google Ad receipts.
  • Enter orders for LSM Media, Radio Advertising, and other vendors as needed.
  • Assist the sales team with various day-to-day projects and administrative needs.
  • Maintain the company’s employee listing with the Chamber of Commerce.
Prize & Station Support
  • Maintain accurate records of station prizes and giveaways.
  • Coordinate administrative needs for community and station events, including WDEZ Homes of Christmas, holiday parade registrations, radiothons, and more.
  • Order Brewers, Packers, and Badgers schedule merchandise.
  • Obtain quotes, review proofs, and coordinate the ordering of promotional materials.
We Ask That You
  • Have a high school diploma or GED equivalent.
  • Have strong organizational and time-management skills.
  • Have a valid Wisconsin driver’s license and reliable transportation.
  • Have accounts receivable and/or accounts payable experience preferred but not necessary.
  • Be able to pass a background check and motor vehicle record check.
What We Offer
  • Full-time, Monday–Friday, 8:00 AM–5:00 PM schedule.
  • Competitive pay of $19.00–$21.00 per hour, based on experience.
