Job description

Front Office Manager

Employment Type: Full-Time, Experienced

Department: Litigation Support

CGS is seeking a Front Office Manager to join our team supporting the legal mission of a large federal agency. This position offers an opportunity to demonstrate expertise in office management by providing managerial support and interacting effectively with clients and attorneys.

Skills and Attributes for Success:
  1. This is a high-level, high-visibility position requiring onsite presence 5 days a week.
  2. The candidate must interact closely with high-level staff to complete assignments with minimal oversight.
  3. Professional demeanor and strong work ethic are essential.
  4. Only very experienced candidates with proven, long-term relevant experience will be considered; this is not an entry-level position.
  5. Schedule and coordinate senior management calls and meetings via Zoom, MS Teams, etc.
  6. Set up and facilitate hybrid meetings.
  7. Coordinate with IT to resolve technical issues.
  8. Make and reconcile travel arrangements using the E2 application (training provided) and adjust travel plans as needed.
  9. Answer and direct incoming calls appropriately.
  10. Coordinate site events with dignitaries and schedule with internal/external parties.
  11. Manage correspondence and organize workload, processes, and physical spaces.
  12. Schedule appointments and communicate on behalf of senior management as needed.
Qualifications:
  1. Minimum of four years of progressively responsible supervisory and management experience, including effective communication with clients or attorneys.
  2. Experience in front desk operations and interacting with the public via phone.
  3. Proficiency in document management, MS Office Suite (PowerPoint, Word, Excel, Outlook).
  4. Exceptional phone etiquette and multiline phone system experience.
  5. Strong proofreading skills for typographical, grammatical, and spelling accuracy.
  6. Experience managing daily office operations and supervising support staff.
  7. Self-starter, quick learner, resourceful, and proactive.
  8. Excellent oral and written communication skills.
  9. Bachelor’s degree required; law degree, technical certification, or graduate degree preferred.
