Front Office Manager

Employment Type: Full-Time, Experienced

Department: Litigation Support

CGS is seeking a Front Office Manager to join our team supporting the legal mission of a large federal agency. This position offers an opportunity for candidates to demonstrate expertise in office management by providing managerial support and effectively interacting with clients or attorneys.

Skills and Attributes for Success:
  • This is a high-level, high-visibility position requiring onsite presence 5 days a week.
  • The candidate must interact closely with high-level staff to complete assignments with minimal oversight.
  • Professional demeanor, confidence, and a strong work ethic are essential.
  • This role is critical to daily operations; only highly experienced candidates with proven, long-term relevant experience will be considered. This is not an entry-level position.
  • Coordinate and schedule senior management calls and meetings via Zoom, MS Teams, etc.
  • Set up and facilitate hybrid meetings.
  • Work with IT to resolve technical issues.
  • Make and reconcile travel arrangements using the E2 application (training provided).
  • Manage travel expense reports and adjustments in E2.
  • Answer and direct incoming calls appropriately.
  • Coordinate site events with dignitaries and schedule meetings with internal and external parties.
  • Manage correspondence and organize workload, processes, and physical spaces as needed.
  • Schedule appointments and communicate on behalf of senior management.
Qualifications:
  • Minimum four years of progressively responsible supervisory and management experience, with strong communication skills to interact with clients or attorneys.
  • Experience handling front desk or public interactions via phone.
  • Proficiency in ordering, maintaining, and reviewing documents for accuracy.
  • Exceptional phone etiquette and experience operating multiline phone systems.
  • Strong written communication skills, with experience reviewing text for typographical, grammatical, and spelling accuracy.
  • Experience managing daily office operations and organization.
  • Proficiency in MS Office Suite (PowerPoint, Word, Excel, Outlook).
  • Supervisory experience in supporting staff.
  • Ability to learn new applications quickly, be resourceful, and take initiative.
  • Undergraduate degree required; law degree or advanced certification preferred.
