Job Requirements
Under moderate supervision, the Front Office Coordinator performs a variety of clerical and administrative functions that support daily clinical operations. This role serves as a key point of contact for patients and providers by delivering excellent customer service, managing scheduling needs, coordinating patient registration, verifying insurance, and collecting patient payments. The FOC helps ensure a seamless patient experience from check-in through check-out.
Primary Responsibilities
- Greet and assist patients, visitors, and callers in a professional and welcoming manner.
- Answer and manage incoming telephone calls, providing information and directing inquiries as appropriate.
- Contact patients to confirm upcoming appointments.
- Verify patient demographic and insurance information prior to scheduled appointments.
- Accurately enter and update patient information in the electronic medical record system.
- Register patients and ensure all required documentation and information are complete and current.
- Collect copayments, outstanding balances, and other patient-responsible payments.
- Schedule and coordinate patient appointments while maintaining provider calendars.
- Process physician and patient referral requests in a timely manner.
- Notify clinical staff of patient arrivals and assist with patient flow throughout the office.
- Maintain visitor logs and other front office documentation.
- Process and distribute departmental mail, faxes, and correspondence.
- Maintain medical records in accordance with organizational policies and procedures.
- Complete patient checkout activities, including scheduling follow-up appointments, coordinating ancillary services, and providing receipts for services rendered.
- Travel between practice locations as needed to support operational coverage.
Education
- High School Diploma or equivalent (GED) required.
Experience
- One (1) year of customer service experience is required.
- One (1) year of relevant front desk or administrative experience preferred.
- Previous experience in a healthcare or medical office environment preferred.
- Certification in scheduling and registration preferred.

- Proficiency with computer systems, electronic medical records, and standard office applications.
- Ability to maintain confidentiality and handle sensitive patient information in accordance with organizational policies and HIPAA requirements.
- Knowledge of medical terminology, patient registration, scheduling, and insurance verification processes preferred.
