Overview

Regional Cancer Care Associates (RCCA) is looking for an exceptional Front Office Coordinator to join the team. This position professionally greets and welcomes patients and their friends/family. Answers, screens, and directs all incoming calls to appropriate personnel relaying messages between patients and clinical staff. This individual must also possess strong multi-tasking abilities and bring positivity and passion to their work. If you want to join a team that is on the cutting edge of cancer care, while always putting the patient first, we want to hear from you! While some experience is preferred, we are very open to new grads looking to explore oncology care.

Employment Details

  • Location: Falmouth, MA
Responsibilities
  1. Greet patients and visitors to the clinic in a prompt, courteous, and professional manner. Check in patients and inform clinical staff of patient arrival.
  2. Provide and explain paperwork for the patient to complete prior to appointments. Collect, verify for completeness, and scan/file patient forms. Update demographics and insurance information in the system. Collect co-pays and balances; provide receipts.
  3. Answer phone calls promptly, courteously, and professionally.
  4. Answer, screen, and respond to routine questions via phone, electronic communications, or face-to-face contact. Route to appropriate personnel or take thorough messages. Communicate messages accurately and timely.
  5. Record patient cancellations and missed appointments; reschedule. Notify appropriate staff of cancellations and document in patient charts.
  6. Schedule outside consults/procedures ordered by physicians.
  7. Provide general administrative support by scanning/filing charts and forms or ensuring they are sent to the appropriate department. Maintain a neat lobby area and supply inventory.
  8. Adhere to confidentiality, HIPAA, and other legal guidelines regarding patient information.
  9. Schedule all CT (CAT) scans, PET scans, once approved by insurance.
  10. Maintain the chart message queue and update as needed.
  11. Scan and copy updated insurance cards.
  12. Perform other duties as requested, including typing memos and forms.
Qualifications
  • High school diploma or equivalent.
  • At least 18 months of front medical office receptionist experience with insurance forms and scheduling software.
  • Knowledge of practice routines, personnel, and scheduling. Proficiency with computer systems and Microsoft Office (Outlook, Word, Excel).
  • Must complete required e-learning courses within 90 days of employment.
  • Demonstrates adaptability, commitment to high performance, and emphasizes quality service.
Physical Demands

Must be able to sit, stand, talk, and hear during work hours. May occasionally lift up to 40 lbs. Requires good vision and hearing.

Work Environment

Exposure to communicable diseases, toxic substances, and radiation typical of oncology clinics. Involves in-person interactions and minimal travel.
