Job Description

We are seeking a highly organized and detail-oriented individual to join our team as a Front Office Coordinator and scheduler. In this position, you will be responsible for various clinical and administrative responsibilities while ensuring efficient and professional customer service to our patients.

Supervision

Supervisor: Front Office Coordinator

Supervisory Responsibilities: None

Major Responsibilities/Tasks
  • Answer and screen telephone calls courteously
  • Schedule patient appointments and procedures according to established policies and procedures
  • Communicate effectively with patients regarding reproductive medicine
  • Obtain accurate demographic and insurance information from patients
  • Check patients in and out, explain benefits, collect co-payments, unpaid balances, and complete patient intake paperwork
  • Process and post charges daily
  • Verify account balances and inform patients about unpaid balances
  • Obtain prior authorization for surgical procedures and treatments
  • Follow up with insurance companies and internal departments to ensure requirements are met
  • Create and update patient charts, document records, and maintain proper order
  • Prepare patient charts in advance and complete them after appointments
  • Enter data for office visits, consults, and surgeries, including ICD-10 and CPT coding
  • Maintain files and records confidentially
  • Ensure organization and efficiency of the front office
  • Maintain patient confidentiality in accordance with HIPAA laws
  • Perform other related duties as assigned
Qualifications
  • High school diploma or equivalent
  • Dependable and reliable transportation
  • Proficient in phone systems and office equipment
  • Strong knowledge of computer systems, especially Microsoft Excel and Word
  • Knowledge of medical terminology and insurance practices
  • Excellent communication and customer service skills
  • Strong organizational skills and attention to detail
  • Ability to multitask in a fast-paced environment
  • Previous experience in a medical office setting
  • Basic arithmetic skills for calculations and reconciliations
  • Knowledge of HIPAA Law
