Job summary

Apptronik in Sunnyvale is seeking a Workplace Experience Manager to own the onsite experience, front desk, and guest interactions for a high-visibility site. You will collaborate with the EA team to ensure a polished, demo-ready environment and seamless visitor flow.

The role emphasizes independence, vendor coordination, and proactive issue resolution, supporting executive teams and ensuring safety and site readiness at all times.

Qualifications

• Must be able to operate independently and take ownership of the site.
• 3–5 years in reception, hospitality, guest services, workplace experience, or facilities coordination, in a guest- or executive-facing environment.
• Strong communication, discretion, and interpersonal judgment are essential.

Responsibilities

• Own and manage the reception desk as the site's front-of-house post, greeting employees, guests, vendors, and VIPs, and set the standard for arrivals.
• Oversee daily Sunnyvale site operations to ensure it is polished, functional, and ready for employees, executives, and VIP guests.
• Serve as the site’s day-to-day decision-maker with independent judgment and escalation as needed.
• Keep the site and briefing center presentation- and demo-ready, clean, stocked, and secure for VIP visits.
• Provide front-of-house, guest, facility, and vendor support during VIP visits and meetings in collaboration with the EA team.
• Manage visitor processes (Envoy/VMS), check-in, and badging for a smooth, secure arrival.
• Develop local vendor relationships for catering, supplies, and services, ensuring high standards.
• Maintain supply, pantry, and workspace readiness for visits or events.
• Coordinate onboarding logistics and workspace setup with HR/Recruiting.
• Plan site-wide events and support employee culture initiatives.
• Assist with seating and workspace planning as the site grows toward ~80 employees.
• Identify risks and enforce demo-ready standards for facility, safety, and vendors.
• Maintain discretion around executives, guests, and confidential activities.
