OPENING DATE: 8/24/2026CLOSING DATE: 9/6/2026POSITION SUMMARY: The Receptionist/Administrative Assistant serves as the first point of contact for all visitors and callers, providing excellent customer service while managing front desk operations, facility scheduling, and supporting administrative and payment processing functions. This position requires strong communication, organizational, and multitasking skills in a fast-paced environment with frequent interruptions.ESSENTIAL DUTIES AND RESPONSIBILITIES:Answer all incoming calls promptly, determine the purpose of each call, and forward to appropriate personnel or departments.Take and deliver messages accurately or transfer calls to voicemail when staff are unavailable.Respond to general inquiries and provide information such as organizational details, addresses, directions, and appointment information.Maintain front desk coverage at all times to ensure calls are answered without delay.Greet visitors, tribal members, and staff in a courteous and professional manner, ensuring a welcoming environment.Announce visitors and assist with visitor coordination as needed.Schedule events, meetings, workshops, and training courses across multiple locations, including:Watchetaker HallPatriot Room (Old Conference Room)New Conference RoomCache Community CenterApache Community CenterWalters Community CenterOld Elder CenterProcess payments for building rentals using a credit card system in accordance with organizational procedures.Maintain accurate records of all rental payments, including tracking who has paid and monitoring deposit payments and refunds.Create and maintain logs documenting rental transactions, payments received, and deposits refunded.Perform general administrative and clerical duties such as filing, photocopying, and data entry.Create, format, and print documents including fax cover sheets, payment requests, stock requests, memos, correspondence, letters, sign-in/out sheets, and emails.Order and maintain office supplies for the reception and administrative departments.Assist administrative staff with overflow work and special projects as needed.Perform other duties as assigned.REPORTS TO: Will report to the Tribal Administrator Executive Assistant.PHYSICAL DEMANDS: Must be able to lift a minimum of ten (10) pounds.
