The Front Desk Receptionist serves as the initial point of contact for patients and visitors at our medical center. This role is responsible for managing front desk operations, ensuring an exceptional patient experience, and providing administrative support to ensure the smooth running of daily activities.

Key Responsibilities:
  • Greeting and Assisting Patients:
    • Welcome patients and visitors in a professional and friendly manner.
    • Assist patients with check-in/check-out procedures.
    • Provide information about services, procedures, and wait times.
  • Managing Appointments:
    • Schedule, reschedule, and cancel patient appointments.
    • Ensure the accuracy of appointment details and patient records.
    • Coordinate with medical staff to manage appointment flows and urgent cases.
  • Handling Communications:
    • Answer phone calls, emails, and other communications promptly.
    • Direct inquiries to appropriate departments or personnel.
    • Maintain confidentiality of patient information as per HIPAA regulations.
  • Administrative Support:
    • Process patient registration and insurance information.
    • Prepare and manage patient files and records.
    • Perform clerical duties such as filing, photocopying, and data entry.
  • Financial Transactions:
    • Handle patient payments, co-payments, and billing inquiries.
    • Assist with the processing of insurance claims and verify patient coverage.
  • Facility Management:
    • Ensure the reception area is clean, organized, and welcoming.
    • Manage office supplies and reorder as necessary.
Required Skills and Qualifications:
  • Education: High School Diploma or equivalent; Associate's degree or relevant certification is a plus.
  • Experience: Previous experience in a customer service or administrative role, preferably in a medical or healthcare setting.
  • Communication Skills: Excellent verbal and written communication skills. Ability to communicate clearly and empathetically with patients and staff.
  • Technical Skills: Proficiency in office software (e.g., MS Office Suite), and familiarity with electronic medical records (EMR) systems.
  • Organizational Skills: Strong organizational abilities with attention to detail and the ability to manage multiple tasks efficiently.
  • Interpersonal Skills: Friendly, professional demeanor with strong customer service skills.
  • Problem-Solving: Ability to handle difficult situations calmly and resolve issues effectively.
Working Conditions:
  • Full-time position with standard office hours; occasional extended hours may be required.
  • Ability to work in a fast-paced medical environment and handle high-stress situations.
