PURPOSE AND SCOPE:
As the Patient Services Coordinator, this position coordinates scheduling, pre-procedure communication, medical record documents, EMR demographic data entry, and requirements for payers and Revenue Cycle. Greets patients and answers multi-line telephone and fax.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Schedule and input all appointments into the scheduling module in a timely and efficient manner. Ensure all pre-procedure/preoperative activities are scheduled or completed. Manage patient cancellations, center cancellations (e.g., equipment issues), and schedule additions according to center parameters. Print daily patient schedule and pull patient charts.
- Facilitate the admission process by professionally greeting all patients and visitors, obtaining patient identification and insurance information to initiate admissions.
- Assemble, file, and maintain patient medical and financial records confidentially and securely.
- Complete front-end billing procedures, ensuring all information is entered into the registration module.
- Perform insurance verification and complete all required processes for prior authorizations or other payor actions.
- Assist with patient transportation if qualified per Company Transportation Policy.
- Ensure appropriate signatures are on all necessary charts and admission data according to FMCNA policies and procedures.
- Ensure accuracy when scanning and filing documents, completing these within 24 hours of the visit, including physician reports to referral sources.
- Communicate any changes regarding procedures and insurance identified during patient visits to internal parties and update the patient record immediately.
- Perform daily encounter checks to ensure reporting accuracy.
- Coordinate collection, processing, maintenance, storage, retrieval, documentation, and distribution of medical records per policy and procedure.
- Document logs of medical record releases.
- Provide information to research or study projects involving patient care and service utilization, in accordance with policy.
- Oversee materials going in and out of the office, including inventory shipments and deliveries.
- Perform other duties as assigned.

EDUCATION:
- High School Diploma or equivalent; Associate Degree or higher preferred.
EXPERIENCE AND REQUIRED SKILLS:
- 1-2 years’ related experience, preferably in a medical setting with insurance billing.
- Proficient in computer use and software such as Microsoft Office.
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks simultaneously.
- Adaptability to supporting software applications.
