Job summary

Casey’s Fleet team seeks a Maintenance Service Coordinator - Parts Specialist to assist in receiving, storing, and accounting for parts and tools for maintenance work. Responsibilities include shipping, invoicing, filing, and managing warranty claims with dealers.

You will work with repair facilities to process invoices, ensure correct coding and quality, and support service teams across locations. Local travel and driving are required.

Qualifications

• Associate degree or relevant experience may be substituted.
• Strong knowledge of maintenance reporting standards, codes, and proper maintenance/repair techniques.
• Familiarity with relevant safety components.
• Ability to assess equipment failures over the phone and relay proper information to repair facilities.
• Collaborate and build relationships based on transparency and mutual respect.
• Capable of handling problems and opportunities in a complex environment.
• Strong analytical, time management, and organizational skills.
• Proficient in Word and Excel.
• Physical ability to lift up to 50 lbs; local travel with valid driver's license.

Responsibilities

• Process invoices, parts, labor coding, and quality control with maintenance facilities.
• Enter inventory data, verify delivery against purchase orders for quantity, price, and quality.
• Take part/supplies orders and coordinate shipment to service locations.
• Communicate parts status based on priority.
• Review repair orders to ensure time and parts billed correctly.
• File warranty/repair orders for policy support.
• Maintain CMMS (RTA) data accuracy and update procedures.
• Provide administrative support to Service teams.
• Monitor and support RTA systems.
