The Fleet Coordinator will support the Fleet Manager in providing fleet management support to drivers, supervisors, managers & directors responsible for Fleet Operations. This role will require occasional travel to assist and support locations where fleet vehicles are assigned.

Responsibilities

1. System management including Employee credentials, vehicle details, billing, and data accuracy for Fleet support platforms (Motive, Element, JJ Keller, Holman, Emaint).
2. Data management to support business priorities and decision making (Monthly Mileage, Motive usage, Element reports).
3. Provide training for drivers and supervisors on Fleet platforms.
4. Manage IFTA Quarterly Reporting for Surface Apportioned Units.
5. Maintain Surface IRP Account (plates, cab cards).
6. Handle Clearinghouse Pre-Employment runs for CDL drivers.
7. Maintain Driver and Vehicle Master lists for insurance and compliance.
8. Process Heavy Highway Taxes and MSC 150 Reporting.
9. Prepare UCR Reports for heavy vehicles.
10. Assess fleet data for utilization and right-sizing.
11. Coordinate documents, titles, asset disposal, vehicle transfers, and registration.
12. Manage Maintenance Software and support mechanics and manufacturing facilities.
13. Manage JJ Keller Driver Qualification files and support DOT questions.
14. Provide technical support for HOS violations and device management.
15. Maintain fleet availability, repairs, and vendor contact for maintenance.
16. Conduct daily vehicle inspections and manage registration renewals.

Requirements

1. High school diploma or equivalent; post-secondary education in logistics or fleet management is a plus.
2. 2+ years in coordination or dispatch roles in relevant industries.
3. Familiarity with DOT, FMCSA, and HSE standards.
4. Knowledge of fleet management software.
5. Strong attention to detail and communication skills.
6. Willingness to work in fast-paced or field environments.
