Job summary

Virginia Transformer Corporation is seeking a highly organized Fleet & Asset Coordinator to support our growing Field Service team across North America. This role ensures fleet readiness, asset control, and efficient mobilizations for customer projects.

You will maintain equipment inventories, coordinate maintenance, track regulatory compliance, and collaborate with field managers, safety, and accounting to minimize downtime and maximize project success.

Qualifications

• Bachelor’s degree in Business, Logistics or related field or equivalent experience.
• Minimum 3 years of fleet management, equipment coordination or logistics experience.
• Experience supporting field service, industrial, or utility operations.
• Strong knowledge of FMCSA/DOT fleet regulations.

Responsibilities

• Coordinate daily operations of the Field Service fleet, trucks, trailers, and other vehicles.
• Manage preventative maintenance, inspections and repairs to maximize availability.
• Track registrations, insurance, titles, DOT inspections, licensing, and renewals.
• Monitor vehicle utilization, mileage, fuel usage, and maintenance costs.
• Coordinate vehicle assignments and mobilizations based on project schedules.
• Maintain fleet documentation and service history.
• Manage inventory of field service tools and equipment.
• Coordinate equipment allocation to field crews for projects.

Position Summary

Virginia Transformer Corporation is seeking a highly organized and proactive Fleet & Asset Coordinator to support our growing Field Service organization. This position is responsible for coordinating the company's field service fleet, trailers, specialty equipment, tools, and operational assets to ensure technicians have the resources necessary to safely and efficiently support customer projects throughout North America.

The Fleet & Asset Coordinator plays a critical role in maintaining fleet readiness, coordinating preventative maintenance, managing equipment inventories, supporting field mobilizations, and ensuring compliance with company and regulatory requirements. This role works closely with Field Service Managers, Project Managers, Safety, and Accounting to minimize downtime and maximize operational efficiency.

Key Responsibilities

Fleet Management

• Coordinate the daily operations of the Field Service fleet, including field service trucks, freightliners trucks, trailers, and other company vehicles.
• Coordinate preventative maintenance, inspections, repairs, and warranty work to maximize fleet availability.
• Track vehicle registrations, insurance, titles, DOT inspections, licensing, and renewal schedules.
• Monitor vehicle utilization, mileage, fuel usage, maintenance costs, and replacement planning.
• Coordinate vehicle assignments, transfers, and mobilizations based on project schedules.
• Maintain accurate fleet documentation and service history.

Field Service Asset Management

• Manage inventory of field service tools, testing equipment, PPE, generators, vacuum systems, oil processing equipment, transformers accessories, and other specialized field assets.
• Coordinate equipment allocation to field crews for scheduled projects and emergency response activities.
• Track asset locations and utilization through asset management software.
• Maintain equipment calibration, certification, and inspection records.
• Coordinate repair, replacement, and refurbishment of damaged or worn equipment.
• Conduct routine physical inventories and reconcile discrepancies.

Project & Logistics Support

• Coordinate equipment mobilization and demobilization for field service projects across North America.
• Schedule shipments between facilities, vendors, and job sites.
• Support project managers by ensuring required equipment is available prior to mobilization.
• Coordinate rental equipment when internal assets are unavailable.
• Work with vendors to expedite repairs and replacement equipment.

Compliance & Safety

• Ensure all fleet vehicles and equipment comply with company policies, DOT regulations, OSHA requirements, and applicable safety standards.
• Monitor preventative maintenance schedules to reduce equipment failures in the field.
• Maintain documentation for inspections, certifications, lifting equipment, trailers, and specialized tools.
• Support fleet safety initiatives and vehicle incident reporting.
• Develop relationships with fleet maintenance providers, equipment suppliers, and rental vendors.
• Obtain repair estimates and coordinate service approvals.
• Monitor maintenance expenses and recommend cost-saving initiatives.
• Assist with annual fleet and equipment budgeting.

Reporting & Administration

• Maintain accurate records within fleet and asset management systems.
• Generate monthly reports on fleet utilization, maintenance expenses, equipment availability, and asset lifecycle status.
• Support audits and inventory reconciliation activities.
• Recommend continuous improvements to fleet and asset management processes.

Required Qualifications

• Associate's or Bachelor's degree in Business, Operations, Supply Chain, Logistics, or a related field, or equivalent work experience.
• Minimum of 3 years of experience in fleet management, equipment coordination, field service operations, logistics, or asset management.
• Experience supporting field service, industrial, manufacturing, utility, or construction operations.
• Experience with preventive maintenance programs.
• Experience coordinating nationwide field service logistics.
• Strong knowledge of FMCSA/DOT fleet regulations.
• Strong organizational and planning skills with the ability to manage multiple priorities.
• Proficiency with Microsoft Office Suite.
• Experience with fleet management and asset tracking software, and GPS telematics.
• Valid driver's license.

Preferred Qualifications

• Experience supporting utility, electrical, transformer, power generation, or heavy industrial operations.
• Familiarity with OSHA safety standards and equipment inspection requirements.
• Knowledge of inventory control and operations.
