Law Firm Administrator (Part-Time or Full-Time)
Location: Downtown Charleston with parking provided.
Reports to: Managing Partner
Compensation: Commensurate with experience and scope of services; based on part-time or full-time status.

Position Summary:
A well-established law firm entering its 15th year with offices in two locations and a team of over 20 professionals is seeking a capable and experienced Law Firm Administrator. This position offers flexibility as either a part-time (20–30 hours/week) or full-time role, depending on the candidate’s experience and capacity. The Administrator will work closely with the firm’s Managing Partner and Billing Manager.
The ideal candidate is a proactive, detail-oriented professional with law firm experience, strong organizational and accounting skills, and the ability to handle diverse operational responsibilities across two office locations.
Key Responsibilities:
- Post incoming receipts (paper checks and ACH) to the firm’s accounting software (Centerbase) for both operating and trust accounts.
- Make deposits to bank accounts and handle internal fund transfers, including to the payroll account and for the line of credit, as needed.
- Handle accounts payable operations, including processing invoices and issuing vendor payments
- Coordinate with outside tax accountant to compile year-end financials and 1099s.
- Support general financial operations and troubleshoot accounting-related issues as they arise.
Benefits & HR Administration
- Manage 401(k) plan enrollment and assist employees with plan-related questions.
- Oversee onboarding of new hires, including initial setup, policy education, and system access.
- Coordinate annual performance review process in collaboration with the managing partner.
- Maintain personnel records and ensure compliance with firm policies and applicable employment laws.
- Coordinate updates, maintenance, and optimization of accounting, CRM, and document/file management systems (e.g., Centerbase or similar platforms).
- Provide day-to-day troubleshooting and user support for operational technology issues.
- Serve as a liaison with software vendors, IT consultants, and service providers.
- Identify opportunities to improve efficiency through automation, system enhancements, and emerging technologies.
- Support the evaluation and responsible use of AI tools (e.g., document automation, workflow optimization, data analysis) to improve productivity and service delivery.
- Promote best practices in data management, security awareness, and technology adoption across the organization.
Office & Operations Management
- Serve as a general point of contact for operational matters affecting both offices.
- Assist with special projects and administrative improvements to support firm efficiency.
- Maintain a collaborative working relationship with attorneys and staff across both office locations.
Qualifications:
- Prior experience in an administrative, operations, or office management role within a professional services environment (legal, accounting, consulting, or similar) is strongly preferred.
- Experience with financial operations, including accounting systems and client-related funds management.
- Proficiency with business software systems (accounting, practice management, CRM, or ERP platforms); experience with Centerbase or similar tools is a plus.
- Strong understanding of HR practices, onboarding, and benefits administration.
- Excellent communication, organizational, and problem-solving skills.
- Ability to work independently and as part of a collaborative administrative team.
- Comfortable managing multiple priorities in a fast-paced legal environment.
Work Schedule & Compensation:
- Part-time (20–30 hours/week) or Full-time depending on qualifications and availability.
- Flexibility in scheduling available with Work From Home opportunity for one (1) day per week for the right candidate.
