Job summary

Sciens Building Solutions is seeking a Project Coordinator to support fire and security project businesses. You will work with project managers, field technicians, and team members to help ensure projects are completed on time and on budget.

Responsibilities include preparing documents, tracking submittals, supporting sales and operations, coordinating schedules, and assisting with billing and permits. A strong emphasis on customer satisfaction and organized project administration is essential.

Qualifications

• High school diploma or equivalent.
• 1–2 years of construction administrative assistant experience preferred.
• Excellent customer service and follow up skills.
• Strong organizational skills.
• Sound decision-making skills.
• Positive attitude and ability to motivate others.
• Ability to escalate difficult inquiries to managers.
• Strong written and verbal communication skills.

Responsibilities

• Prepare registration, pre-qualification, bid documents, bond orders, project documents, and closeouts.
• Create and track project submittal packages.
• Support sales and operations teams.
• Coordinate daily schedule changes.
• Track and report change orders and project closeouts.
• Assist with project billing and status reviews.
• Assist PM with material requisition, tracking, and delivery.
• Coordinate material delivery schedule and maintain backorder logs.
• Coordinate between solutions and service departments for handover.
• Maintain master list of tools for each technician.
• Coordinate with purchasing for tools replacement or additions.
• Assist operations with accounts receivable issues.
• Track and submit project permits.
• Attend monthly WIP meetings and record action items.
• Assist with general administrative tasks as needed.
