Job summary

Sciens Building Solutions seeks a Project Coordinator to support our fire and security project teams. You will work with project managers, field technicians, and others to keep projects on time and on budget, tracking documents and ensuring customer satisfaction.

Responsibilities include managing submittals, schedules, change orders, billing support, and material logistics. Strong organization, communication, and independent work ability are essential.

Qualifications

• High school diploma or equivalent.
• 1-2 years of construction administrative assistant experience preferred.
• Intermediate computer skills, including Microsoft Office, required.
• Excellent customer service and follow up skills.
• Strong organizational skills.
• Possess sound decision-making skills.
• Ability to encourage and motivate people with a positive attitude.
• Strong communication and reading skills, along with excellent organizational abilities.
• Ability to complete projects independently.
• Reliable transportation, driver's license, insurance.

Responsibilities

• Preparation of registration and pre-qualification, bid documents, bond orders, project documents, and project closeouts.
• Creation and tracking of project submittal packages.
• Provide support to both sales and operations teams.
• Coordinate daily schedule changes to address customer and company needs.
• Track and report on change orders and project closeouts.
• Assist with project billing and status reviews.
• Assist project manager with material requisition, tracking, and delivery.
• Coordinate and maintain project material delivery schedule.
• Maintain a log of back ordered material with expected deliver dates.
• Coordinate between solutions and service departments to ensure a smooth handover of projects.
• Maintain a master list of company-supplied tools for each solutions technician.
• Coordinate with purchasing for any replacement or additional tools required.
• Assist operations manager with accounts receivable issues.
• Track and submit for Project Permits.
• Participate in monthly WIP meetings and take notes and distribute action items.
• Assist with various administrative tasks as needed.
