Job summary

Fire Protection Inc. Pittsburgh is seeking an organized Fire Protection Estimator / Service Coordinator to join our team. This role estimates fire protection service and repair work, procures materials, and prepares documentation to schedule and complete projects.

The ideal candidate understands fire protection systems, pays close attention to detail, and can manage multiple projects from estimate through delivery, coordinating with technicians, customers, vendors, and office staff.

Qualifications

• Experience in fire protection estimating or service management.
• Ability to read service reports, drawings, and material lists.
• Strong mathematical and analytical skills.
• Excellent attention to detail and organization.
• Proficiency with Excel and Outlook.

Responsibilities

• Review service reports, inspection deficiencies, technician recommendations, drawings, and customer requests.
• Prepare accurate estimates and proposals for fire sprinkler, fire alarm, fire suppression, and related fire protection service work.
• Determine labor, material, equipment, subcontractor, and other project costs.
• Obtain vendor pricing and maintain accurate material and labor pricing.
• Develop clear, professional proposals for customers.
• Follow up on outstanding proposals as needed.
• Coordinate with technicians and management to clarify scope of work and pricing.
• Process approved proposals and convert them into work orders.
• Prepare work orders, purchase orders, material lists, job packets, and other required documentation.
• Ensure technicians have the information and materials necessary to complete scheduled work.
• Coordinate scheduling with service management and field personnel.
• Maintain accurate project records from approval through completion.
• Review completed work documentation and assist with preparing invoices, closeout documents, and customer records.
• Track outstanding work and communicate project status internally and with customers when needed.
• Communicate professionally with customers regarding proposals, approvals, scheduling, and project requirements.
• Communicate with suppliers and manufacturers regarding pricing, availability, substitutions, and delivery dates.
• Work closely with technicians, inspectors, project managers, and management to resolve issues and keep work moving.
