DH Pace Company, Inc. seeks a Department Coordinator in Olathe, KS to coordinate field employees and ensure customer satisfaction.

The role involves dispatching, scheduling, and supporting billing and service ticket processes, with a focus on timely, accurate work orders and communications. The position requires experience in dispatch or high-volume administration, excellent communication, and strong multitasking abilities.

Qualifications

• Experience using Microsoft Office Suite.
• Experience in a dispatch or other high volume administration field is a plus.
• Must have excellent communication skills and focused on customer service.
• Must have good time management skills, be organized and the ability to multi-task.
• Represent the company in a professional manner.

Responsibilities

• Schedule technicians to customer job sites and collect and submit job details.
• Ensure COD payments are collected prior to job completion.
• Maintain technicians’ schedules and align tickets with materials, billing, and voided tickets.
• Run and manage department reports to meet customer expectations.
• Assist with billing paperwork and meet customer billing document requirements.
• Create and maintain service tickets to ensure service dates are met.
• Work with estimating team to provide service quotes when required.
• Assist field techs with troubleshooting and problem solving.
• Provide accurate work orders and picking lists to warehouse for inventory.
• Other responsibilities as assigned.
