Job summary

Panelmatic, Inc. seeks a detail-oriented Field Service Project Coordinator to support installation, modification, and repair projects. You will assist the project management team and ensure clear communication with customers and vendors, maintaining project documentation and cross-functional collaboration.

Qualifications

• High school diploma or equivalent required.
• Proficiency in MS Office and Adobe Acrobat.
• Detail-oriented with ability to manage multiple projects.
• Effective communication and collaboration across teams.
• Strong organizational and time-management skills.
• Attention to accuracy and quality.
• Ability to work independently and as part of a team.

Responsibilities

• Facilitate communication among field service technicians, leadership, project managers, customers, and suppliers.
• Develop and maintain the Open-Issues Log (OIL) for Field Service Operations.
• Assist with expediting component shortages.
• Serve as a liaison between project team and internal/external departments.
• Organize and categorize documents for easy retrieval.
• Monitor document distribution to ensure field teams have required documentation.
• Coordinate with stakeholders to execute key project deliverables.
• Track project progress and identify potential issues and risks.
• Escalate project issues and risks promptly.
• Schedule, organize, and facilitate meetings.
• Document meeting minutes and action items.
• Maintain project BOM and ERP requirements; coordinate with Procurement for material flow.
• Monitor invoicing status with FS leadership.
• Assist with progress tracking, performance metrics, and KPI updates for leadership.
